Purpose

Copy budget or actual data into a new budget.

Overview

Use Budget Data Copy Utility to optimize your time when entering budget data. If you want to create a budget by starting with an existing budget, you can copy the data automatically without having to enter it manually. This allows you to create numerous budgets while only entering budget data once.

Copying a Budget

To copy a budget:

  1. Select whether you want to copy budget data or actual account data.

  2. Click the Lookup button to the right of the Budget Year or Actuals Year field in the COPY FROM section to select the year from which you are copying data.

  3. If your company uses consolidation ledgers, verify the ledger ID for which you want to copy budget data is entered in the Ledger ID field.

  4. If you selected to copy budget data in step 1, enter the budget ID of the budget from which you are copying data in the Budget ID field in the COPY FROM section.

  5. If you want to copy data for a single account or a range of accounts, clear the All Accounts check box, and enter the accounts in the From G/L Account and To G/L Account field.

  6. Click the Lookup button to the right of the Budget Year field in the COPY TO section to select the year to which you are copying data.

  7. Enter the budget ID to which you are copying data in the Budget ID field in the COPY TO section. If you want to create a new budget, you can enter a new budget ID that was not previously created in Budget Maintenance.

  8. If you are creating a new budget, or want to edit descriptions for an existing budget, enter the description and detailed description in the Description and Detail Description fields.

  9. If you want to change the copied budget by a percentage, enter the percentage in the % Change field.

  10. Click the OK button in the ribbon. If you entered an existing budget ID in step 6, the Confirm Update dialog box appears, and asks you to confirm the changes. Click the Yes button. The data is copied.

Note The copying process may take a few moments for a large chart of accounts.

You can also copy budgets one account at a time in Budget Data Maintenance.

General Tab Fields and Buttons

Field or Button

Description

Budget/Actuals

Select whether you want to copy data from an existing budget or from actual account data.

Budget Year (COPY FROM)

Click the Lookup button to select the year for the budget from which you are copying data. This field is only available if you select the Budget radio button.

Actuals Year

Click the Lookup button to select the year for the actuals from which you are copying data. This field is only available if you select the Actuals radio button.

Ledger ID

Enter a ledger ID for which to copy budget data, or click the Lookup button to select a ledger ID.

Note This field is only available if at least one consolidation ledger is set up.

Budget ID (COPY FROM)

Enter the budget ID from which you want to copy data, or click the Lookup button to select a budget ID. This field is only available if you select the Budget radio button.

Description (COPY FROM)

This field displays the description of the selected budget. This field is only available if you select the Budget radio button.

All Accounts

Select this check box to copy data for all general ledger accounts. This check box is selected by default.

From G/L Account

Enter the first general ledger account number in a range of accounts for which you want to copy budget data, or click one of the Lookup buttons to select an account. This field is only enabled if you clear the All Accounts check box.

To G/L Account

Enter the last general ledger account number in a range of accounts for which you want to copy budget data, or click one of the Lookup buttons to select an account. This field is only enabled if you clear the All Accounts check box.

Budget Year (COPY TO)

Click the Lookup button to select the year for the budget to which you are copying data.

Budget ID (COPY TO)

Enter the budget ID to which you want to copy data, or click the Lookup button to select a budget ID.

Description (COPY TO)

Enter the description of the selected budget ID. If you selected an existing budget that has a description, this field defaults to the existing description.

% Change

Enter a percentage if you want to change the copied data by a specific percentage.

Detail Description

Enter the detailed description of the selected budget ID. If you selected an existing budget that has a detailed description, this field defaults to the existing detailed description.
