Purpose

Define valid customer reason codes for chargeback resolution and analysis.

Overview

Use Customer Chargeback Reason Maintenance to define valid reason codes used internally by some customers to identify specific types of chargebacks (e.g., returns, marketing allowances, etc.). If the customer provides their own internal codes, you can track them to facilitate chargeback resolution. Optionally, you can also link customer chargeback reason codes directly to a specific reason code and/or a status code used by your company.

Adding Customer Chargeback Reason Codes

To add a new customer chargeback reason code:

  1. Click the New button in the ribbon.

  2. Enter a customer code or name in the Customer Code or Name field.

  3. Enter the customer reason code in the Customer Reason Code field.

  4. Enter the customer's description of the reason code in the Description field.

  5. If you want to link the customer's chargeback reason code to your company's chargeback reason code, enter your company's chargeback reason code in the Default Reason Code field.

  6. If you want to link the customer's chargeback reason code to your company's chargeback status code, enter your company's chargeback status code in the Default Status Code field.

  7. Click the OK button in the ribbon. The customer chargeback reason code is created.

Updating Customer Chargeback Reason Codes

To update a customer chargeback reason code:

  1. Enter a customer in the Customer Code or Name field.

  2. Enter the customer reason code in the Customer Reason Code field.

  3. Click the Update button in the ribbon.

  4. Update any of the information for the customer chargeback reason code.

  5. Click the OK button in the ribbon. The customer chargeback reason code is updated.

Deleting Customer Chargeback Reason Codes

To delete a customer chargeback reason code:

  1. Enter a customer in the Customer Code or Name field.

  2. Enter the customer reason code in the Customer Reason Code field.

  3. Click the Delete button in the ribbon.

  4. Click the OK button in the ribbon. The customer chargeback reason code is deleted.

Note You cannot delete a customer chargeback reason code if it has already been used on a chargeback.

Click this button to close the Customer Chargeback Reason Maintenance window.

New

Click this button to create a new customer chargeback reason code.

Update

Click this button to edit the selected customer chargeback reason code.

Delete

Click this button to delete the selected customer chargeback reason code.

OK

Click this button to accept an action. This button is only available after you click the New, Update, or Delete button in the ribbon.

Cancel

Click this button to cancel an action. This button is only available after you click the New, Update, or Delete button in the ribbon.

Show Data

Click this button to refresh the data in the Customer Chargeback Reason Code grid for the selected customer.

First

If you select the Customer radio button, click this button to display customer chargeback reason codes for the first customer.

If you select the Customer Reason Code radio button, click this button to display the first customer chargeback reason code for the selected customer.

Prev

If you select the Customer radio button, click this button to display customer chargeback reason codes for the previous customer.

If you select the Customer Reason Code radio button, click this button to display the previous customer chargeback reason code for the selected customer.

Next

If you select the Customer radio button, click this button to display customer chargeback reason codes for the next customer.

If you select the Customer Reason Code radio button, click this button to display the next customer chargeback reason code for the selected customer.

Last

If you select the Customer radio button, click this button to display customer chargeback reason codes for the last customer.

If you select the Customer Reason Code radio button, click this button to display the last customer chargeback reason code for the selected customer.

Customer Code

Enter a billing customer code, or click the Lookup button to select a billing customer code.

Name

Enter a billing customer name, or click the Lookup button to select a billing customer name.

Customer Reason Code

Enter the paying customer's internally-used code for a type of chargeback, or click the Lookup button to select a customer chargeback reason code.

Navigate by

Select whether you want to navigate by customer or customer chargeback reason code when you click the First, Prev, Next, or Last button in the ribbon.

Description

Enter the long description of the reason for a customer's chargeback.

Default Reason Code

Enter a chargeback reason code to link to the customer chargeback reason code, or click the Lookup button to select a chargeback reason code. For information on setting up chargeback reason codes, see Chargeback Reason Maintenance.

Default Status Code

Enter a chargeback status code to link to the customer chargeback reason code, or click the Lookup button to select a chargeback status code. For information on setting up chargeback status codes, see Chargeback Status Maintenance

Customer Chargeback Reason Code

This grid displays customer chargeback reason code information for the selected customer.
