Purpose

Overview

Use Data Extract Selection Maintenance to associate suppliers with each data extract output in Generate Data Extract, and to exclude customers from each data extract.

Note The data extracts are only used by beverage distributors who need to send data to the following companies: Beverage Data Network (BDN), Vermont Information Processing (VIP), SevenFifty, and/or TradePulse.

Typically, data for all customers is included for each data extract. The exception is if distributors want to exclude specific types of customers, such as wholesale customers.

Data Extract Selection Maintenance also allows you to set up inventory adjustment codes for breakages and additional charges for deposits (used for the VIP extract only).

For SevenFifty, use this window to select price source to export the product-pricing data.

Selecting Suppliers and Excluding Customers for Data Extracts

To select suppliers and exclude customers for data extracts:

  1. Click the Lookup button for the Extract Name field, and select a data extract.

  2. Click the Update button in the ribbon.

  3. Select filter criteria for the suppliers you want to display.

  4. Click the Show Data button in the ribbon.

  5. Double-click the suppliers in the Available grid that you want to select for the data extract.

  6. Click the Excluded Customers tab.

  7. Select filter criteria for the customers you want to display.

  8. Click the Show Data button in the ribbon.

  9. Double-click the customers in the Available grid that you want to exclude from the data extract.

  10. If you selected VIP in step 1, click the Extract Field Association tab, then select. Otherwise, skip to step 14.

  11. In the Available Inventory Adjustment Codes grid, double-click inventory adjustment codes that are used for breakages, such as codes used for broken bottles.

  12. Click the Lookup button for the File field, and select Sales.

  13. In the Available Additional Charges grid, double-click additional charges that are used for deposits, such as keg or bottle deposits.

  14. Click the OK button in the ribbon. The data extract record is updated.

Button

Exit

Click this button to close the Data Extract Selection Maintenance window.

Update

Click this button to update selected customers and suppliers for the selected data extract.

OK

Click this button to accept changes to the selected data extract. This button is only available after you click the Update button in the ribbon.

Cancel

Click this button to cancel changes to the selected data extract. This button is only available after you click the Update button in the ribbon.

Show Data

Click this button to display unselected suppliers or customers for the data extract based on the selected filter criteria.

First

Click this button to display the first data extract.

Prev

Click this button to display the previous data extract.

Next

Click this button to display the next data extract.

Last

Click this button to display the last data extract.

Extract Name

Click the Lookup button to select one of the following data extracts:

  • BDN

  • SevenFifty

  • TradePulse

Suppliers Tab Fields and Buttons

Field or Button

Description

All (Suppliers)

Select this check box to display all suppliers. This check box is selected by default.

Supplier Code

Enter a supplier code to display, or click the Lookup button to select a supplier code. This field is only enabled if you clear the All check box to the left of it.

Name (Supplier)

Enter a supplier name to display, or click the Lookup button to select a supplier name. This field is only enabled if you clear the All check box to the left of it.

All (Supplier Divisions)

Select this check box to display suppliers in all supplier divisions. This check box is selected by default.

Supplier Division

Enter a supplier division for which to display suppliers, or click the Lookup button to select a supplier division. This field is only enabled if you clear the All check box to the left of it.

All (Supplier Groups)

Select this check box to display suppliers in all supplier groups. This check box is selected by default.

Supplier Group

Enter a supplier group for which to display suppliers, or click the Lookup button to select a supplier group. This field is only enabled if you clear the All check box to the left of it.

All (Supplier Types)

Select this check box to display suppliers in all supplier types. This check box is selected by default.

Supplier Type

Enter a supplier type for which to display suppliers, or click the Lookup button to select a supplier type. This field is only enabled if you clear the All check box to the left of it.

Wine

Select this check box to display suppliers with a wine license. This check box is cleared by default.

Spirits

Select this check box to display suppliers with a spirits license. This check box is cleared by default.

Beer

Select this check box to display suppliers with a beer license. This check box is cleared by default.

Available

This grid displays suppliers not yet selected for the selected data extract after you click the Show Data button in the ribbon. Double-click a supplier to select it for the data extract.

Click this button to add all suppliers displayed in the Available grid to the Selected grid.

Click this button to add the selected supplier in the Available grid to the Selected grid.

Click this button to remove the selected supplier from the Selected grid.

Click this button to remove all suppliers from the Selected grid.

Selected

This grid displays suppliers selected for the selected data extract.

Excluded Customers Tab Fields and Buttons

Field or Button

Description

All (Customers)

Select this check box to display all customers. This check box is selected by default.

Customer Code

Enter a customer code to display, or click the Lookup button to select a customer code. This field is only enabled if you clear the All check box to the left of it.

Name (Customer)

Enter a customer name to display, or click the Lookup button to select a customer name. This field is only enabled if you clear the All check box to the left of it.

All (Customer Divisions)

Select this check box to display customers in all customer divisions. This check box is selected by default.

Customer Division

Enter a customer division for which to display customers, or click the Lookup button to select a customer division. This field is only enabled if you clear the All check box to the left of it.

All (Sales Representative 1s)

Select this check box to display customers assigned any sales representative as a primary sales representative. This check box is selected by default.

Sales Representative 1

Enter a primary sales representative for which to display customers, or click the Lookup button to select a sales representative. This field is only enabled if you clear the All check box to the left of it.

All (Beverage Types)

Select this check box to display customers in all customer beverage types. This check box is selected by default.

Beverage Type

Enter a customer beverage type for which to display customers, or click the Lookup button to select a customer beverage type. This field is only enabled if you clear the All check box to the left of it.

All (Sales Representative 2s)

Select this check box to display customers assigned any sales representative as a secondary sales representative. This check box is selected by default.

Sales Representative 2

Enter a secondary sales representative for which to display customers, or click the Lookup button to select a sales representative. This field is only enabled if you clear the All check box to the left of it.

All (Shipping Locations)

Select this check box to display customers for all shipping locations. This check box is selected by default.

Shipping Location

Enter a shipping location prefix for which to display customers, or click the Lookup button to select a shipping location prefix. This field is only enabled if you clear the All check box to the left of it.

All (Sales Territories)

Select this check box to display customers for all sales territories. This check box is selected by default.

Sales Territory

Enter a sales territory for which to display customers, or click the Lookup button to select a sales territory. This field is only enabled if you clear the All check box to the left of it.

All (Sales Locations)

Select this check box to display customers for all sales locations. This check box is selected by default.

Sales Location

Enter a sales location prefix for which to display customers, or click the Lookup button to select a sales location prefix. This field is only enabled if you clear the All check box to the left of it.

All (Sales Groups)

Select this check box to display customers for all sales groups. This check box is selected by default.

Sales Group

Enter a sales group for which to display customers, or click the Lookup button to select a sales group. This field is only enabled if you clear the All check box to the left of it.

Wine

Select this check box to display customers with a wine license. This check box is cleared by default.

Spirits

Select this check box to display customers with a spirits license. This check box is cleared by default.

Beer

Select this check box to display customers with a beer license. This check box is cleared by default.

All (User Defined 1-10)

Select these check boxes to display suppliers for all user-defined field values. These check boxes are selected by default.

User Defined 1-10

Enter a user-defined field value for which to display suppliers. Each of these fields is only enabled if you clear the associated All check box. The labels and characteristics of these fields are set up in User Defined Fields Maintenance.

Available

This grid displays customers not yet excluded for the selected data extract after you click the Show Data button in the ribbon. Double-click a customer to exclude it for the data extract.

Click this button to add all customers displayed in the Available grid to the Selected grid.

Click this button to add the selected customer in the Available grid to the Selected grid.

Click this button to remove the selected customer from the Selected grid.

Click this button to remove all customers from the Selected grid.

Selected

This grid displays customers excluded for the selected data extract. Double-click a customer to remove it from this grid.

Extract Field Association Tab Fields and Buttons

NOTE This tab is only enabled if you select VIP or SevenFifty for the Extract Name field.

Description

File

Click the Lookup button to select one of the following:

  • Inventory - Select inventory adjustment codes used to calculate breakages for the VIP Inventory file.

  • Sales - Select additional charges used to calculate deposits for the VIP Sales file.

NOTE When you select SevenFifty in the Extract Name field, the system disables the File field after setting its value to Product.

Available Inventory Adjustment Codes / Available Additional Charges

This grid displays inventory adjustment codes or additional charges that are not yet selected.

Click this button to add all inventory adjustment codes or additional charges displayed in the Available Inventory Adjustment Codes or Available Additional Charges grid to the Selected Inventory Adjustment Codes or Selected Additional Charges grid.

Click this button to add the selected inventory adjustment code or additional charge in the Available Inventory Adjustment Codes or Available Additional Charges grid to the Selected Inventory Adjustment Codes or Selected Additional Charges grid.

Click this button to remove the selected inventory adjustment code or additional charge from the Selected Inventory Adjustment Codes or Selected Additional Charges grid.

Click this button to remove all inventory adjustment codes or additional charges from the Selected Inventory Adjustment Codes or Selected Additional Charges grid.

Selected Inventory Adjustment Codes / Selected Additional Charges

This grid displays selected inventory adjustment codes or additional charges. Double-click an inventory adjustment code or additional charge to remove it from this grid.

Price Source

Select a price source from the list. It could be one of the four list prices or a price matrix price.

Customer Code / Customer Name

Click the Lookup button to select a customer code or a customer name when you select the following as a price source:

  • Customer-Product

  • Customer-Price Class

  • Customer-Style

You can create a fake customer and price matrix records to export the product files for SevenFifty.

Price Book

Click the Lookup button to select a price book when you select the following as a price source:

  • Price Book-Product

  • Price Book-Price Class

  • Price Book-Style

You can create a fake price book and price matrix records to export the product files for SevenFifty.
