Purpose

View the effect of accounts payable posting on the general ledger.

Overview

Use General Ledger Accounts Payable Inquiry to view posted or unposted accounts payable transactions, along with accounts payable account, cash account, or expense account transactions.

Using the Inquiry

To use the General Ledger Accounts Payable Inquiry:

  1. Select whether to view vouchers or journal entries for an accounts payable, cash, expense, discount, or write-off account.

  2. Enter the account number.

  3. Click the Lookup button to the right of the Year field, and select the year for which you want to view voucher or journal entries.

  4. Click the Lookup buttons to the right of the Period from and To fields, and select a range of periods for which you want to view voucher or journal entries.

  5. Click the Lookup button to the right of the Display Currency field, and select a currency for all displayed amounts.

  6. Select whether you want to display journal entries transferred to the general ledger, or vouchers, which are not yet transferred.

  7. To view detailed information for a voucher or journal entry, double-click it.

Click this button to display voucher or journal information based on the selected criteria.

Inquiry Tab Fields and Buttons

Field or Button

Description

A/P/Cash/Expense/Discount/Write-off Account

Enter the accounts payable, cash, expense, discount, or write-off account for which you want to view voucher and journal entries.

Account Type

Select the account category for which you want to display information:

  • A/P Account

  • Cash Account

  • Expense Account

  • A/P Discounts

  • A/P Write-off

Description

This field displays the description of the selected account.

Type

This field displays the two-letter abbreviation for the type of the selected account.

Year

Click the Lookup button and select the year for which to display transactions.

Period from

Click the Lookup button, and select the first period in a range of periods for which to display transactions.

To

Click the Lookup button, and select the last period in a range of periods for which to display transactions.

Display Currency

Click the Lookup button and select the currency for all displayed amounts.

Transferred Option

Select whether to view information that has or has not been transferred to the general ledger.

Journals/Vouchers

This grid displays journals or vouchers based on the selected transferred option. Double-click a voucher to display A/P Detail, which allows you to view detailed voucher information. Double-click a journal to display Journal Entry Detail, which allows you to view credits and debits for a journal entry.

Total Transferred to G/L

This field displays the total amount transferred to the general ledger, and indicates whether the amount is a debit or a credit.

Total not Transferred to G/L

This field displays the total amount that has not yet been transferred to the general ledger, and indicates whether the amount is a debit or a credit.
