Purpose

Define journal templates.

Overview

Use Journal Entry Template Maintenance if you work with journal entries that are made often, but with different amounts for the credits and debits. You must also define a journal template to use the Template button for quick general ledger account searching in Journal Entry and Journal Entry Edit. You may define a journal template that contains a list of accounts often included in journal entries, and reference it by using the journal template ID. This saves you time in Journal Entry and/or Journal Entry Edit, because you can select general ledger accounts based on the journal template ID.

Creating Journal Entry Templates

To create a journal entry template:

  1. If your company uses consolidation ledgers, verify the ledger ID for which you want to create a journal entry template is entered in the Ledger ID field.

  2. Click the New button in the ribbon.

  3. Enter a journal entry template ID in the Template ID field.

  4. Enter a description of the journal template in the Description field.

  5. Enter a general ledger account in the G/L Account field.

  6. Select whether the account is used for a credit or debit by default.

  7. Click the Add button.

  8. Repeat steps 3 to 5 for all general ledger accounts you want to include in the template.

  9. Click the OK button in the ribbon. The journal entry template is created.

Editing Journal Entry Templates

To edit a journal entry template:

  1. If your company uses consolidation ledgers, verify the ledger ID for which you want to edit a journal entry template is entered in the Ledger ID field.

  2. Enter a journal entry template ID in the Template ID field.

  3. Click the Update button in the ribbon.

  4. Edit the journal entry template.

  5. Click the OK button in the ribbon. The journal entry template is updated.

Deleting Journal Entry Templates

To delete a journal entry template:

  1. If your company uses consolidation ledgers, verify the ledger ID for which you want to delete a journal entry template is entered in the Ledger ID field.

  2. Enter a journal entry template ID in the Template ID field.

  3. Click the Delete button in the ribbon.

  4. Click the OK button in the ribbon. The journal entry template is deleted.

Exit

Click this button to close the Journal Entry Template Maintenance window.

New

Click this button to create a new journal entry template.

Update

Click this button to update the selected journal entry template.

Delete

Click this button to delete the selected journal entry template.

OK

Click this button to accept an action. This button is only available after you click the New, Update, or Delete button in the ribbon.

Cancel

Click this button to cancel an action. This button is only available after you click the New, Update, or Delete button in the ribbon.

First

Click this button to display the first journal entry template.

Prev

Click this button to display the previous journal entry template.

Next

Click this button to display the next journal entry template.

Last

Click this button to display the last journal entry template.

Fields and Buttons

Field or Button

Description

Template ID

Enter a journal entry template ID, or click the Lookup button to select a journal entry template ID.

Ledger ID

Enter a ledger ID for the journal entry template, or click the Lookup button to select a ledger ID.

Note This field is only available if at least one consolidation ledger is set up.

Description

Enter a description of the journal entry template.

Description

G/L Account

Enter a general ledger account number for the account against which a credit or debit amount is being entered, or click one of the Lookup buttons to select a general ledger account number or description.

G/L Elements

Click this button to display G/L Prompting, which allows you to enter a general ledger account by account element.

Add

Click this button to add the account to the Selected G/L Accounts grid.

Credit/Debit

Select whether the account should default to either a credit or debit when used in making journal entries.

Remove

Click this button to remove the selected account from the Selected G/L Accounts grid.

Selected G/L Accounts

This grid displays general ledger accounts for the selected template, and whether each account is for a credit or debit.
