Setting Up Profitability Scorecards

Before you can use the Profitability Scorecards module to analyze your company's profitability, you must perform the following setup:

  1. In Scorecard Profit Group Maintenance, set up scorecard profit groups for groups of customers, products, and suppliers. For example, if you have fifty customers that represent individual stores of a mass merchant, you can set up a single scorecard profit group to track profitability for the mass merchant, and assign each of the related customers to the scorecard profit group.

  2. In Scorecard Profit Group Security Maintenance, set up security access for the scorecard profit groups you set up in step 1. This allows you to control exactly which users can view data for each group.

  3. In Scorecard Profit Category Maintenance, set up scorecard profit categories and subcategories. You can use scorecard profit categories and subcategories to display subsets of data in profitability scorecards, such as sales, cost of goods sold, etc.

  4. In Scorecard Profit Category Organization, set up the display order of scorecard profit categories in profitability scorecards.

  5. In Scorecard Control Maintenance, set up default options for profitability scorecards, such as specifying the data included in profitability amounts and the data that must be entered in various processes to track profitability. When doing this, you must consider the impact this will have on user's work. For example, if you want to include accounts payable expenses in profitability scorecards, additional steps must be included in the accounts payable voucher entry processing. The user entering each voucher will need to know which customers, products, and/or suppliers to associate with profitability records. So, you must consider whether this information will be known during voucher entry, and whether the monetary amounts are significant enough to justify the extra work.

  6. In Scorecard Data Refresh, refresh profitability data. This will apply the changes you made in steps 1 to 5. You should refresh profitability data on a recurring basis. Typically, this is performed monthly.

  7. If there is any profitability data that is not tracked in Apprise, enter the data in Scorecard Manual Adjustment Entry or import it in Scorecard Manual Adjustment Import.

The profitability scorecards now are set up and are available in Scorecard Management Analysis and Scorecard Analysis.
