Purpose

Define valid reason codes for chargeback tracking and analysis.

Overview

Use Chargeback Reason Maintenance to define valid reason codes for entry, redistribution, and analysis of chargebacks. Every chargeback must be assigned a valid reason code.

The following table lists examples of chargeback reason codes.

Reason Code

Description

Return

The chargeback is for products being returned.

Sales Allowance

The chargeback is for a sales allowance program.

Unknown

You have not yet determined why the customer is taking the chargeback.

Note Chargebacks are sometimes automatically created as a result of ineligible cash discounts (see Customer Payment Rule Maintenance). In this special situation, you should set up a chargeback reason code that begins with the word Discount to be able to easily segregate these types of chargebacks.

Adding Chargeback Reason Codes

To add a new chargeback reason code:

  1. Click the New button in the ribbon.

  2. Enter a chargeback reason ID in the Reason Code field.

  3. Enter a description of the chargeback reason in the Description field.

  4. Enter a default general ledger account number or name for the chargeback reason code to use if the chargeback is written off in the Write-Off Default G/L Account or Write-Off Default G/L Name field.

  5. If chargeback amounts associated with the chargeback reason code will be collected, select the Collectible check box.

  6. Click the OK button in the ribbon. The new chargeback reason code is created.

Updating Chargeback Reason Codes

To update a chargeback reason code:

  1. Display the chargeback reason code you want to update.

  2. Click the Update button in the ribbon.

  3. Update the chargeback reason code information as necessary.

  4. Click the OK button in the ribbon. The chargeback reason code is updated.

Deleting Chargeback Reason Codes

To delete a chargeback reason code:

  1. Display the chargeback reason code you want to delete.

  2. Click the Delete button in the ribbon.

  3. Click the OK button in the ribbon. The chargeback reason code is deleted.

Note You cannot delete a chargeback reason code if it was already assigned to a chargeback division, chargeback group, or chargeback.

Click this button to close the Chargeback Reason Maintenance window.

New

Click this button to create a new chargeback reason. This button is only available if the Main tab is displayed.

Update

Click this button to update the selected chargeback reason. This button is only available if the Main tab is displayed.

Delete

Click this button to delete the selected chargeback reason. This button is only available if the Main tab is displayed.

Show Data

Click this button to display chargeback reason information. This button is only available if you click the Inquiry tab.

OK

Click this button to accept an action. This button is only available if you click the New, Update, or Delete button in the ribbon.

Cancel

Click this button to cancel an action. This button is only available if you click the New, Update, or Delete button in the ribbon.

First

Click this button to display the first chargeback reason. This button is only available if the Main tab is displayed.

Prev

Click this button to display the previous chargeback reason. This button is only available if the Main tab is displayed.

Next

Click this button to display the next chargeback reason. This button is only available if the Main tab is displayed.

Last

Click this button to display the last chargeback reason. This button is only available if the Main tab is displayed.

Enter a detailed description of the reason for a customer's chargeback.

Write-Off Default G/L Account

Enter the general ledger account to use as a default for the chargeback reason code if the chargeback is written off, or click the Lookup button to select an account.

G/L Elements

Click this button to display G/L Prompting, which allows you to enter a general ledger account by entering account elements.

Write-Off Default G/L Name

Enter the name of the general ledger account to use a default for the write-off reason code if the chargeback is written off, or click the Lookup button to select an account name.

Collectible

Select this check box if chargeback amounts associated with the chargeback reason are expected to be collected. This is informational only, and does not affect processing.

This grid displays chargeback reasons after you click the Show Data button in the ribbon. Double-click a chargeback reason to select it and display information for it on the Main tab.
