Question: During purchase order entry, the ship-to location and address used is stored on the purchase order and cannot be changed in Edit mode in Purchase Order Maintenance. How do I make such changes after the purchase order has been created?
Answer: The following methods can be used to change a ship-to location and address on a purchase order:
If the purchase order has not been received, you can void the original purchase order and generate a new purchase order with the correct ship-to location. Void the original purchase order using the Void button in the ribbon. The Purchase Order Status field should display Fully Voided. This indicates you can no longer receive against the purchase order, or conduct accounts payable/purchase order reconciliation to pay for the purchase order.
If the purchase order has not been received, you can copy the existing purchase order using the Copy button in the ribbon, and create a new purchase order. Select the desired ship-to location, and click the OK button in the ribbon to accept the new purchase order. Void the original purchase order using the Void button in the ribbon. The Purchase Order Status field should display Fully Voided. This suggests you can no longer receive against the purchase order, or conduct accounts payable/purchase order reconciliation to pay for the purchase order.
If the purchase order has been partially received (the Purchase Order Status field displays Received or Partially Received), you can still void the purchase order, however those products that have been receipted are assumed to be received into the original ship-to location. You can only create a new purchase order with the new ship-to location for the products pending receipt. After the original purchase order has been successfully voided, the Purchase Order Status field will display Fully Voided. This indicates you have received in goods against the purchase order in part, however you may no longer receive in goods against the purchase order. You can perform accounts payable/purchase order reconciliation to pay for the products that have already been received.
Note A ship-to location cannot be changed for fully received purchase orders.
