Purpose

Set up and maintain postal codes.

Overview

Use Postal Code Maintenance to define and maintain valid postal codes by country. Postal codes can be up to 10 characters in length. If you interface with UPS, FedEx, or another third-party carrier to ship products, the postal code must match the city and state to avoid failure with the interface (i.e., rejection of an invalid combination). You can obtain the latest ZIP Codes for the United States from the United States Postal Service, and then import the codes in Postal Code Import. For more information on obtaining updated US ZIP Codes, see www.usps.com.

Note Postal codes are only validated in other programs, such as Customer Maintenance, if the Validate Postal Code Against Postal Code Maintenance check box is selected for a country in Country Maintenance. If this check box is selected, then a postal code must be valid for the country.

Creating Postal Codes

To create a postal code:

  1. Enter a country for which you want to create a postal code in the Country field.

  2. Click the New button in the ribbon.

  3. Enter the postal code in the Postal Code field.

  4. Enter the county for the postal code in the County field.

  5. Enter the city for the postal code in the City field.

  6. Enter the state or province for the postal code.

  7. If you want to enter additional information for the postal code, click the Other tab and enter the information in the available fields.

  8. Click the OK button in the ribbon. The postal code is created.

Note Typically, postal codes are not entered manually. Usually postal codes are imported from an external source.

Updating Postal Codes

To update a postal code:

  1. Enter a country for which you want to update a postal code in the Country field.

  2. Enter a postal code in the Postal Code field.

  3. Click the Update button in the ribbon.

  4. Update the postal code information.

  5. Click the OK button in the ribbon. The postal code is updated.

Deleting Postal Codes

To delete a postal code:

  1. Enter a country for which you want to delete a postal code in the Country field.

  2. Enter a postal code in the Postal Code field.

  3. Click the Delete button in the ribbon.

  4. Click the OK button in the ribbon. The postal code is deleted.

Note A postal code cannot be deleted if it is used for customer or open order addresses and the Validate Postal Codes check box is selected for the country in Country Maintenance.

Ribbon Home Tab Buttons

Button

Exit

Click this button to close the Postal Code Maintenance window.

New

Click this button to create a new postal code for the selected country.

Update

Click this button to update the selected postal code.

Delete

Click this button to delete the selected postal code.

OK

Click this button to accept an action. This button is only available after you click the New, Update, or Delete button in the ribbon.

Cancel

Click this button to cancel an action. This button is only available after you click the New, Update, or Delete button in the ribbon.

Show Data

Click this button to display postal codes based on the selected filter criteria.

First

Click this button to display the first postal code for the selected country.

Prev

Click this button to display the previous postal code for the selected country.

Next

Click this button to display the next postal code for the selected country.

Last

Click this button to display the last postal code for the selected country.

Main Tab Fields and Buttons

Field or Button

Description

Country

Enter a country code for which you want to create, update, or delete postal codes, or click the Lookup button to select a country code. For information on setting up countries, see Country Maintenance.

Name (Country)

This field displays the name of the selected country.

Postal Code

Enter a postal code, or click the Lookup button to select an existing postal code.

Note There can be multiple occurrences of the same postal code, because the same postal code could be used for more than one city or more than one county.

County

Enter the county name. The county may be used in future releases for sales tax calculation.

City

Enter the city name, or click the Lookup button to select a city.

State or Province

Enter the state or province code, or click the Lookup button to select a state or province code.

Note The label for this field will change depending upon the label that you specify for it in Country Maintenance.

Example If Canada is set up with a state label of Province, then the label Province displays for this field when you enter Canada in the Country field.

Name (State or Province)

This field displays the name of the selected state or province.

Display Filter

If you want to filter the data shown in the Postal Codes grid, select a filter method (Postal Code, City, County, or State/Province), and enter the filter value in the Filter Value field.

Primary Sort

Select the primary sorting method for sorting postal codes in the Postal Codes grid. You can select one of the following:

  • Postal Code

  • City

  • County

  • State/Province

Filter Value

Enter a value for filtering postal codes in the Postal Codes grid based on the selected Display Filter radio button. If you select the Postal Code or State/Province radio button, you can click the Lookup button to select a postal code or state/province.

Secondary Sort

Select the secondary sorting method for sorting postal codes in the Postal Codes grid. You can select one of the following:

  • Postal Code

  • City

  • County

  • State

Note You cannot select the sorting method selected in the Primary Sort field.

Postal Codes

This grid displays postal codes based on the selected criteria.

Field or Button

Description

Free Field 1-6

Enter any data that you want to associate with the postal code. These fields are optional free fields that can be used to store data in the postal code record for later retrieval.
