Purpose

View ship and debit transactions for a supplier.

Overview

Use Ship and Debit Inquiry to display ship and debit transactions. For more information, see Ship and Debit FAQ.

Using the Inquiry

To use Ship and Debit Inquiry:

  1. Select filter criteria for the records you want to display.

  2. Verify the correct currency is entered in the Display Currency field.

  3. If you want to display ship and debit records for unposted invoices, clear the Posted Invoices Only check box.

  4. Click the Show Data button in the ribbon. The Results tab displays the records that meet the criteria you selected in steps 1-3.

Click this button to close the Ship and Debit Inquiry window.

Show Data

Click this button to display ship and debit information on the Results tab based on the criteria selected on the Select tab.

Invoice/Voucher Inquiry

Select a ship and debit record for which an invoice was created, and click this button to display Invoice Inquiry, which allows you to view details of the invoice.

Select a ship and debit record for which a voucher was created, and click this button to display Lookup Inquiry, which allows you to view details of the voucher.

This button is only available if the Results tab is displayed.

Select Tab Fields and Buttons

Field or Button

Description

All (Suppliers)

Select this check box to display ship and debit records for all suppliers. This check box is cleared by default.

Supplier Code

Enter a supplier code for which to display ship and debit records, or click the Lookup button to select a supplier code. This field is only enabled if you clear the All check box to the left of it.

Supplier Name

Enter a supplier name for which to display ship and debit records, or click the Lookup button to select a supplier name. This field is only enabled if you clear the All check box to the left of it.

All (Products)

Select this check box to display ship and debit records for all products. This check box is selected by default.

Product Code

Enter a product code for which to display ship and debit records, or click the Lookup button to select a product code. This field is only enabled if you clear the All check box to the left of it.

Product Name

Enter a product name for which to display ship and debit records, or click the Lookup button to select a product name. This field is only enabled if you clear the All check box to the left of it.

All (Billback Invoices)

Select this check box to display ship and debit records for all billback invoices. This check box is selected by default. You cannot clear this check box and the All check box below it.

Billback Invoice Number

Enter a billback invoice number for which to display ship and debit records, or click the Lookup button to select a billback invoice number.

All (Billback Vouchers)

Select this check box to display ship and debit records for all billback vouchers. This check box is selected by default. You cannot clear this check box and the All check box above it.

Billback Voucher Number

Enter a billback voucher for which to display ship and debit records, or click the Lookup button to select a billback voucher number.

Reference Date From

Enter the first date in a range of customer invoice dates for which to display ship and debit information, or click the drop-down arrow to select a date. This field defaults to a month before today.

Reference Date To

Enter the last date in a range of customer invoice dates for which to display ship and debit information, or click the drop-down arrow to select a date. This field defaults to today.

Display Currency

Click the Lookup button to select a currency to use for the data on the Results tab. The currency defaults to the default general ledger currency.

Posted Invoices Only

Select this check box to only display invoices already posted to the general ledger.

Results Tab Fields and Buttons

Results

This grid displays ship and debit information based on the criteria selected on the Select tab. Each row represents a customer invoice line item that has a ship and debit transaction associated with it. Certain ship and debit columns need further explanation, as follows:

  • Quantity - This column displays the ship and debit quantity.

  • Unit Debit - This column displays the ship and debit rebate per unit.

  • Extended Debit - This column displays the total ship and debit rebate (quantity multiplied by unit debit).

  • Adjusted Unit Cost - This column displays the unit cost of the product minus the unit debit amount.

  • Adjusted Extended Cost - This column displays the total net cost (quantity multiplied by the adjusted unit cost).

  • Gross Profit - This column displays the gross profit inclusive of the ship and debit rebate.
