State and Province Maintenance

Purpose

Set up and maintain states and provinces.

Overview

Use State and Province Maintenance to create, edit, and delete state and province code abbreviations for countries. A country must be set up in Country Maintenance before you can set up state or province codes for it.

Adding States or Provinces

To add a state or province:

  1. Enter a country ID in the Country ID field.

  2. Click the New button in the ribbon.

  3. Enter the two-character state or province ID.

  4. Enter the name for the state or province.

  5. Select an option to control what occurs if the state is used for order ship-to addresses.

  6. Click the OK button in the ribbon. The state or province is created.

Updating States or Provinces

To update a state or province:

  1. Enter a country ID in the Country ID field.

  2. Enter a state or province ID.

  3. Click the Update button in the ribbon.

  4. Edit the name of the state or province.

  5. Select an option to control what occurs if the state is used for order ship-to addresses.

  6. Click the OK button in the ribbon. The state is updated.

Deleting States or Provinces

To delete a state or province:

  1. Enter a country ID in the Country ID field.

  2. Enter a state or province ID.

  3. Click the Delete button in the ribbon.

  4. Click the OK button in the ribbon. The state is deleted.

Note A state or province cannot be deleted if it is used anywhere in the system.

Exit

Click this button to close the State and Province Maintenance window.

New

Click this button to create a new state or province.

Update

Click this button to update the selected state or province.

Delete

Click this button to delete the selected state or province.

OK

Click this button to accept an action. This button is only available after you click the New, Update, or Delete button in the ribbon.

Cancel

Click this button to cancel an action. This button is only available after you click the New, Update, or Delete button in the ribbon.

First

Click this button to display the first state or province for the selected country.

Prev

Click this button to display the previous state or province for the selected country.

Next

Click this button to display the next state or province for the selected country.

Last

Click this button to display the last state or province for the selected country.

Main Tab Fields and Buttons

Field or Button

Description

Country ID

Enter a country code for which you want to enter a state or province, or click the Lookup button to select a country. For information on setting up countries, see Country Maintenance.

Name (Country)

This field displays the name of the selected country.

State or Province ID

Enter a state or province code, or click the Lookup button to select an existing state or province code.

Note The label for this field changes based on the label entered for the selected country in Country Maintenance.

Example If Canada is set up with Province entered in the State Label field in Country Maintenance, Province is the label for this field.

Name (State or Province)

Enter the name of the state or province.

State check on order

Select one of the following options for the state or province:

  • Allow - Allow orders to be created for the state if it is in a customer's ship-to address.

  • Warn - Allow orders to be created, but display a warning for the state if it is in a customer's ship-to address.

  • Deny - Prevent orders from being created for the state if it is in a customer's ship-to address.
