Purpose

Overview

Use Unit of Measure Maintenance to define and maintain units of measure. Units of measure are defined by type, such as volume, weight, quantity, and length. Units of measure are especially important for tracking products; not only how they can be bought, sold, and stored, but also weight and dimensional factors used to build containers or to construct bills of lading.

Note Units of measure are not specific to a system ID. Units of measure are shared by all system ID’s in the same database.

Note Each is the default unit of measure for a measure type of quantity. You must exercise great care and forethought when setting up all other units of measure, because every unit of measure gets converted to Each as well as to all other units of measure.

Example Set up a Case12 unit of measure and convert it to 12 each. Then set up a Case24 unit of measure and convert it to 24 each. Behind the scenes, the software has set up an additional two conversion rates: 1 Case24 = 2 Case12, and 1 Case12 = .5 Case24.

Note You cannot delete a unit of measure if quantities exist for it on any product in inventory.

Creating Units of Measure

To create a unit of measure:

  1. Click the New button in the ribbon.

  2. Enter a code for the unit of measure in the Unit of Measure field.

  3. Enter a name for the unit of measure in the Usage Name field.

  4. Enter a description of the unit of measure in the Description field.

  5. Select the type of unit of measure (volume, weight, etc.)

  6. Enter a different existing unit of measure to which the unit of measure can be converted in the Convert to field.

  7. Enter the conversion rate between the units of measure you entered in step 2 and step 6 in the Conversion Factor field.

  8. If you selected Area in step 5, enter a related length unit of measure in the Length U/M field.

  9. If you selected Length in step 5, enter a related volume unit of measure in the Volume U/M field.

  10. If you selected Quantity in step 5, enter a two-digit prefix in the GTIN Prefix field to use when generating a Global Trade Item Number (GTIN) for products in the unit of measure.

  11. If you want to store additional information for the unit of measure, click the Other Information tab, and enter information in the user-defined fields.

  12. Click the OK button in the ribbon. The unit of measure is created.

Click this button to create a new unit of measure.

Update

Click this button to update the selected unit of measure.

Delete

Click this button to delete the selected unit of measure.

Update Rate

Click this button to update the conversion factor for two selected and related units of measure.

Show Rates

Click this button to display Unit of Measure Conversion Factor List, which allows you to view conversion factors for the selected unit of measure.

OK

Click this button to accept an action. This button is only available after you click the New, Update, Update Rate, or Delete button in the ribbon.

Cancel

Click this button to cancel an action. This button is only available after you click the New, Update, Update Rate, or Delete button in the ribbon.

First

Click this button to display the first unit of measure.

Prev

Click this button to display the previous unit of measure.

Next

Click this button to display the next unit of measure.

Last

Click this button to display the last unit of measure.

Unit of Measure

Enter a unit of measure code, or click the Lookup button to select a unit of measure code.

Example To identify a case of 12 bottles, you can enter Case12.

Main Tab Fields and Buttons

Usage Name

Enter a name that appears in windows where the unit of measure is used.

Example To identify a case of 12 bottles, you can enter CS12.

Description

Enter a description of the unit of measure.

Type

Select one of the following types for the unit of measure:

  • Volume

  • Weight

  • Area

  • Quantity

  • Length

  • Time

Convert to

Enter a unit of measure to which the unit of measure can be converted, or click the Lookup button to select a unit of measure.

Example Case12 is to be converted to the unit of measure type of Quantity, therefore a valid selection is Each.

Type

This field displays the unit of measure type for the unit of measure entered in the Convert to field.

Conversion Factor

Enter the rate of conversion between the unit of measure and the unit of measure entered in the Convert to field.

Example The conversion factor is 12 for a Case12 unit of measure, which sets up a case of 12 bottles equal to 12 each.

Update Reverse Conversion Factor

This check box is selected to indicate that the reverse conversion factor is automatically also calculated. You can clear this check box after you click the Update Rate button in the ribbon if you do not want to update the reverse conversion factor. This check box is only available after you click the Update Rate button in the ribbon.

Update All Related Rates

Select this check box to update all conversion rates related to the selected conversion rates. This check box is only available after you click the Update Rate button in the ribbon.

Example If unit of measure Each is equal to one case12 and equal to .25 case4, and you then update the conversion rate for case12 to be equal to 12 Each, you should select this check box to set one case12 equal to three case4.

Length U/M

Enter the related length unit of measure, or click the Lookup button to select a length unit of measure. This field is only enabled if you select the Area radio button.

Example For the cubic inches unit of measure, you can enter an inch unit of measure.

Volume U/M

Enter the related volume unit of measure, or click the Lookup button to select a volume unit of measure. This field is only enabled if you select the Length radio button.

Example For the inch unit of measure, you can enter a cubic inches unit of measure. Then, if you have set up the cubic inches unit of measure conversion factor to cubic feet, the software can calculate volume in cubic feet for dimensions entered in inches.

GTIN Prefix

Enter a two-digit prefix used to generate a GTIN for products in the unit of measure. This field is only available if you select the Quantity radio button.

Note If you do not specify a prefix, GTIN's for the unit of measure are prefixed by 00.
