User Note Group Maintenance

Purpose

Overview

Use User Note Group Maintenance to quickly assign users to note groups. A note group determines what users or user groups have access to notes in the group, and what kind of access the users have (View, Update, Create, and/or Delete). Every note must be associated with a note group.

Updating a User's Note Groups

To update a user's note groups:

  1. Enter the user ID of the user you want to update in the User ID field.

  2. Click the Update button in the ribbon.

  3. To add a user to a note group, double-click the note group in the Available Groups grid. To remove a user from a note group, double-click the note group in the Selected Groups grid.

  4. In the Selected Groups grid, select the type of access the user has for each note group.

  5. Click the OK button in the ribbon. The note group settings are updated for the user.

Click this button to close the User Note Group Maintenance window.

Update

Click this button to update the note groups the selected user can access.

OK

Click this button to accept an action. This button is only available after you click the Update button in the ribbon.

Cancel

Click this button to cancel an action. This button is only available after you click the Update button in the ribbon.

First

Click this button to display note group access for the first user.

Prev

Click this button to display note group access for the previous user.

Next

Click this button to display note group access for the next user.

Last

Click this button to display note group access for the last user.

User ID

Enter a user ID for which to view or assign note groups, or click the Lookup button to select a user ID.

Available Groups

This grid displays note groups of which the selected user is not a member. Double-click a note group to add the user to the group.

Add

Click this button to add the selected note group in the Available Groups grid to the Selected Groups grid.

Add All

Click this button to add all note groups in the Available Groups grid to the Selected Groups grid.

Remove

Click this button to remove the selected note group from the Selected Groups grid.

Remove All

Click this button to remove all note groups from the Selected Groups grid.

Selected Groups

This grid displays all note groups of which the selected user is a member, and the access options. If you are in Update mode, you can change the access options. This grid includes the following columns:

  • Note Group - This column displays the note groups of which the selected user is a member.

  • View Notes - Select the check box in this column for each note group for which the selected user is allowed to view notes.

  • Update Notes - Select the check box in this column for each note group for which the selected user is allowed to update notes.

  • Create Notes - Select the check box in this column for each note group for which the selected user is allowed to create notes.

  • Delete Notes - Select the check box in this column for each note group for which the selected user is allowed to delete notes.
