Purpose

Overview

Use Budget Export to display budget data along with account descriptions, actual data, and comparison budgets.

After you display the data, you can export it to Microsoft Excel for easy manipulation of the data. If you export budget data to Excel and change the data in Excel, you can import the data back to your budget in Budget Import.

Displaying Budget Information

To display budget information:

  1. If your company uses consolidation ledgers, verify the ledger ID for which you want to display budget information is entered in the Ledger ID field.

  2. Enter a general ledger account number for which you want to display budget information in the G/L Account field. You can use asterisks (*) as wildcards to display information for several or all accounts.

  3. Enter the budget ID for the budget to display in the Budget to Update field.

  4. Click the Lookup button to the right of the Budget Period field, and select whether to display budget information for a specific accounting period, quarter, half-year, or year.

  5. In the Available Other Data Columns grid, select data you want to display in a separate column to the right of the budget in the G/L Accounts grid.

  6. If the data you selected in step 4 can be associated with a period of time, select the period in the Period grid.

  7. Click the Add button.

  8. Repeat steps 4 to 6 for all data you want to display.

  9. Click the Show Data button in the ribbon. The budget and other data display in the G/L Account grid at the bottom of the window.

Exporting to Excel

After you display budget data, you can right-click the G/L Accounts grid, and select Excel Export to export the displayed data to Excel for analysis or modification.

Click this button to clear entered information.

Show Data

Click this button to display budget data for the selected general ledger account(s) and budget ID, and any data you added to the Selected Other Data Columns grid.

Main Tab Fields and Buttons

Field or Button

Description

G/L Account

Enter a general ledger account number or mask for which to display budget data, or click one of the Lookup buttons to select a general ledger account number or description. You can also use partial account numbers with asterisks (*) as wildcards to display information for several accounts at a time, or enter all asterisks to display budget information for all accounts. The description of the account appears after you enter an account number in this field.

Ledger ID

Enter a ledger ID for which to display budget data, or click the Lookup button to select a ledger ID.

Note This field is only available if at least one consolidation ledger is set up.

Budget to Update

Enter a budget ID for which to display budget information, or click the Lookup button to select a budget ID.

Budget Period

Click the Lookup button to select the time period of the budget and/or actual data to export. You can select a general ledger accounting period, quarter, half year, or year.

Available Other Data Columns

This grid displays a list of possible data you can display along with the selected budget data. Select data you want to display, select a period in the Period grid (if applicable), and then click Add. For more information on using grids, see Basic Grid Features.

Add

Click this button to add the selected data from the Available Other Data Columns grid (for the period selected in the Period grid if applicable) to the Selected Other Data Columns grid.

Remove

Click this button to remove selected data in the Selected Other Data Columns grid.

Selected Other Data Columns

This grid displays data you selected for display along with the budget data. Each row in this grid displays as a column in the G/L Accounts grid. For more information on using grids, see Basic Grid Features.

Period

This grid displays accounting periods. Select a period for the data you want to display before you click the Add button. For more information on using grids, see Basic Grid Features.

G/L Accounts

This grid displays budget data and any other data you selected for display after you click the Show Data button. For more information on using grids, see Basic Grid Features.
