Menu Path: Accounts Receivable Chargebacks Chargeback Automatic Apply
Apply credit memos to chargebacks and/or invoices automatically.
Use Chargeback Automatic Apply to automatically apply credit memos to chargebacks (and invoices). This program is useful if you have a large volume of chargebacks generated by mass merchant customers (generally for returns), and related credit memos processed, and you need to automatically apply open credit memos to open chargebacks. Mass merchants typically use the same identification number (customer's reference number) when sending back returns and subsequently processing chargebacks. Often, this is not a one-to-one relationship - there could be multiple credit memos (multiple return shipments back to multiple warehouses) being applied to multiple chargebacks. Also, there typically is a difference between the amount the customer is charging back, and the amount of the internally-generated credit memo (pricing differences, return processing fees, freight back, etc.).
There are different points of views about how to process the automatic application:
Apply related credit memos to chargebacks all the time regardless of the differences (because it is expected that in most cases these will eventually result in few differences)
Only apply related credit memos to chargebacks if the difference is minor (i.e., within the chargeback absorption tolerance rules)
Run this one billing customer at a time; some users want to run this for all billing customers
