Budget Maintenance

Purpose

Add, update, or delete a budget definition.

Overview

Use Budget Maintenance to create an unlimited number of budgets each year. A budget is capable of taking on many characteristics that make it useful for generating reports and facilitating numerous other business functions. You can use any or all of the budgets as part of the financial report generation. In addition, budgets defined here are used for commitment control in the Purchasing module.

Creating Budgets

To create a budget:

  1. If your company uses consolidation ledgers, verify the ledger ID for which you want to create a budget is entered in the Ledger ID field.

  2. Click the New button in the ribbon.

  3. Enter a budget name in the Budget ID field.

  4. Click the Lookup button for the Budget Year field, and select the year for the budget.

  5. Enter a brief description of the budget in the Description field.

  6. Enter a detailed description of the budget in the Detail Description field.

  7. Click the OK button in the ribbon. The budget is created.

You can edit a budget definition at any time. To update a budget definition, enter the budget ID in the Budget ID field, click the Update button in the ribbon, edit the budget information, and click the OK button in the ribbon.

To delete a budget definition, enter the budget ID in the Budget ID field, click the Delete button in the ribbon, and confirm the deletion.

Exit

Click this button to close the Budget Maintenance window.

New

Click this button to create a new budget.

Update

Click this button to update the selected budget.

Delete

Click this button to delete the selected budget.

OK

Click this button to accept an action. This button is only available after you click the New or Update button in the ribbon.

Cancel

Click this button to cancel an action. This button is only available after you click the New or Update button in the ribbon.

First

Click this button to display the first budget for the year entered in the Budget Year field.

Prev

Click this button to display the previous budget for the year entered in the Budget Year field.

Next

Click this button to display the next budget for the year entered in the Budget Year field.

Last

Click this button to display the last budget for the year entered in the Budget Year field.

Fields and Buttons

Field or Button

Description

Budget ID

Enter a budget ID, or click the Lookup button to select a budget ID.

Note The Lookup window only displays budgets for the year entered in the Budget Year field.

Budget Year

Click the Lookup button and select the year to which the budget applies.

Ledger ID

Enter a ledger ID for the budget, or click the Lookup button to select a ledger ID.

Note This field is only available if at least one consolidation ledger is set up.
