Purpose

Analyze current collection efforts.

Overview

Use Collection Management Aging Analysis to analyze the current collection situation. You can drill down from the displayed data to view related data.

Ribbon Home Tab Buttons

Button

Description

Exit

Click this button to close the Collection Management Aging Analysis window.

Show Data

Click this button to display collection data on the Results tab, based on the selected criteria.

Customer Aging and Credit Inquiry

Click this button to display Customer Aging and Credit Inquiry, which allows you to view aging and credit information for the selected customer.

Select Tab Fields and Buttons

Field or Button

Description

All Teams

Select this check box to display data for all collection teams. This check box is selected by default.

Team

Enter a collection team for which to display data, or click the Lookup button to select a collection team. This field is only enabled if you clear the All Teams check box.

All Divisions

Select this check box to display data for all divisions. This check box is selected by default.

Division

Enter a division for which to display data, or click the Lookup button to select a division. Customer divisions are used to identify physical areas of customers.

Example  The East division can be used for customers in the eastern part of the country and the West division can be used for customers in the western part of the country.

This field is only enabled if you clear the All Divisions check box.

All Groups

Select this check box to display data for all collection groups. This check box is selected by default.

Group

Enter a collection group ID for which to display data, or click the Lookup button to select a collection group ID. Collection groups are customers with similar attributes grouped together to form a group ID. This field is only enabled if you clear the All Groups check box.

All Agencies

Select this check box to display data for all collection agencies. This check box is selected by default.

Agency

Enter a collection agency for which to display data, or click the Lookup button to select a collection agency. This field is only enabled if you clear the All Agencies check box.

All Customers

Select this check box to display data for all customers. This check box is selected by default.

Customer

Enter a customer code or name for which to display data, or click one of the Lookup buttons to select a customer code or name. These fields are only enabled if you clear the All Customers check box.

Invoice

Select this check box to exclude invoice transactions from the analysis.

Finance Charge

Select this check box to exclude finance charge transactions from the analysis.

Credit Memo

Select this check box to exclude credit memo transactions from the analysis.

Non-Sufficient Funds

Select this check box to exclude non-sufficient funds transactions from the analysis.

Debit Memo

Select this check box to exclude debit memo transactions from the analysis.

On Account

Select this check box to exclude on account transactions from the analysis.

Chargeback

Select this check box to exclude chargeback transactions from the analysis.

Unapplied Payment

Select this check box to exclude unapplied payment transactions from the analysis.

Prepayment

Select this check box to exclude prepayment transactions from the analysis.

Aging Days

Enter the number of days for up to six aging buckets. This defaults from Accounts Receivable Control Maintenance.

Bucket Range Start

These fields display the number of the first day in each time bucket range, based on the entered aging days.

Bucket Range End

These fields display the number of the last day in each time bucket range, based on the entered aging days.

Future Days

Enter the number of future days for the analysis. This defaults from Accounts Receivable Control Maintenance.

Minimum Collection Amount

Enter an amount to exclude collections below this amount from the analysis.

Display

Select the data displayed on the Results tab. Select one of the following options:

  • Team - Display data for collection teams.

  • Division - Display data for divisions.

  • Group - Display data for collection groups.

  • Agency - Display data for collection agencies.

  • Customer - Display data for billing customers.

Team is selected by default.

Drill Down

Select the information to display if you drill down on data displayed on the Results tab. The available options depend on the selected display option. Select one of the following options:

  • Team - Drill down to collection team data.

  • Division - Drill down to division data.

  • Group - Drill down to collection group data.

  • Agency - Drill down to collection agency data.

  • Customer - Drill down to billing customer data.

Division is selected by default.

If the Detail radio button is selected, the drill down option also controls the detail that is displayed on the Results tab.

Summary/Detail

Select a level of detail for the analysis. Select one of the following options:

  • Summary - Display one row for each team, division, group, agency, or customer.

Example If there are three collection teams, the All Teams check box is selected, the Team radio button is selected, and the Summary radio button is selected, then only three rows (representing each team) display in the Results grid.

  • Detail - Display multiple rows for each team, division, group, agency, or customer. The rows display data broken down by the selected Drill Down option.

Example If there are three collection teams, the All Teams check box is selected, the Team radio button is selected, the Customer radio button is selected as the drill down option, and the Detail radio button is selected, then rows for each combination of team and customer display in the Results grid.

Disputed Invoices Only

Select this check box to only include disputed invoices in the analysis.

Collection Agency Customers Only

Select this check box to only include customers that have been assigned a collection agency in the analysis.

Currency

Click the Lookup button to select a currency to use for all data displayed on the Results tab.

Results Tab Fields and Buttons

Results

This grid displays collection team, division, group, agency, or customer data based on the criteria selected on the Select tab. Double-click a line to drill down to more detailed data. The data that appears when you drill down is based on your selection in the Drill Down field on the Select tab. You can drill down on an invoice, credit memo, or debit memo to display Invoice Inquiry, which allows you to review details of the invoice or credit/debit memo. You can also click the up or down arrow buttons to navigate to larger or smaller subsets of data.

Count

These fields display the current, future, time bucket, and total counts for the data displayed in the Results grid.

Amount

These fields display the current, future, time bucket, and total amounts for the data displayed in the Results grid.

% of Total Count

These fields displays the current, future, and time bucket percentages of the total count.

% of Total Amount

These fields displays the current, future, and time bucket percentages of the total amount.
