Customer Definition

To use Customer Definition, click the Customer button in the ribbon in Order Entry while in New mode, before entering a customer in the Customer Code field.

Note The Customer button is only available if the Main tab is displayed.

Purpose

Create a customer on-the-fly.

Overview

Use Customer Definition to create customers on-the-fly during the order entry process.

NOTE A customer created on the fly includes only a minimal amount of data. Additional information should be entered for the customer in Customer Maintenance.

After all relevant information is entered in this window, click OK to accept and create the new customer. This will display the newly created customer information in Order Entry. You can then continue to process the order to completion.

Button

Description

Exit

Click this button to close the Customer Definition window.

OK

Click this button to create a new customer.

Cancel

Click this button to clear all fields.

Contacts

Click this button to display Contact Maintenance, which allows you to view and enter contact information for customers. The icon for this button includes a check mark if contacts exist for the selected customer.

Credit Cards

Click this button to display Credit Card Number Entry, which allows you to view and enter credit card information for customers. The icon for this button includes a check mark if credit card information is stored for the selected customer.

NOTE This button is disabled if the system uses None as the credit card interface.

Main Tab Fields and Buttons

Field or Button

Description

Name

Enter the customer's name.

Customer Code

Enter the customer's code.

Search Name

Enter the name used for searching for this customer.

Cust Division

Enter the customer division, or click the Lookup button to select a customer division.

Address 1

Enter the first line of the customer's address.

Phone #

Enter the customer's phone number.

Address 2

Enter the second line of the customer's address.

Fax #

Enter the customer's fax number.

City

Enter the city for the customer's address.

Email Address

Enter the customer's email address.

State

Enter the state for the customer's address, or click the Lookup button to select a state.

Postal Code

Enter a postal code for the customer, or click the Lookup button to select a postal code.

Price Book

Enter the price book for the customer, or click the Lookup button to select a price book.

Country

Enter the country for the customer's address, or click the Lookup button to select a country.

Shipping Location

Enter the shipping location for the customer, or click the Lookup button to select the shipping location.

Terms

Enter the terms code for the customer, or click the Lookup button to select a terms code.

Sales Location

Enter the sales location for the customer, or click the Lookup button to select the sales location.

Sales Representative

Enter the sales representative for the customer, or click the Lookup button to select the sales representative.

Tax Jurisdiction/Tax Exempt #

If the Tax Exempt check box is cleared, enter the tax jurisdiction for the customer, or click the Lookup button to select a tax jurisdiction.

If the Tax Exempt check box is selected, enter the tax exemption number for the customer.

NOTE When the system uses AvaTax interface, the value for Tax Jurisdiction is automatically set to None.

Shipper Mode

Enter the shipper mode.

Entity Use Code

Enter a custom code to indicate the type of tax exemption or click the Lookup button to select a standard code from the list. This field is only enabled when AvaTax interface is used and if you select the Tax Exempt check box.

Customer

Select whether the customer is a full customer or a prospect.

Billing Code

Enter the billing customer code for the customer, or click the Lookup button to select a billing customer code.

County

Enter the county of the customer's address.

Importer of Record Number

Enter the C-TPAT importer of record number for the bill-to address.

Tax Exempt

Select this check box if the customer is tax exempt.
