Purpose

Set up and maintain direct debit mandates.

Overview

Use Direct Debit Mandate Maintenance to create, edit, and delete direct debit mandates, which are records of the authorization given by a debtor to a creditor to allow the creditor to initiate collections for debiting a specified debtor's account.

You can also import direct debit mandates in Direct Debit Mandate Import.

Creating Direct Debit Mandates

To create a direct debit mandate:

  1. Click the New button in the ribbon.

  2. Enter a code for the direct debit mandate in the Mandate Code field.

  3. If the direct debit mandate is for the Single Euro Payments Area (SEPA), select the SEPA radio button.

  4. Enter a description of the direct debit mandate in the Description field.

  5. If the direct debit mandate is inactive, select the Inactive radio button.

  6. Enter the date the direct debit mandate was signed in the Mandate Signature Date field.

  7. If you selected the SEPA radio button in step 3, enter the SEPA mandate information including the mandate reference number.

  8. Click the Creditor tab.

  9. Enter the creditor name for the direct debit mandate in the Creditor Name field.

  10. If you selected the SEPA radio button in step 3, enter the creditor ID in the Creditor ID field.

  11. Enter the cash account to which direct debit amounts will be transferred in the Cash Account field.

  12. Click the Debtor tab.

  13. Enter the debtor name in the Debtor Name field.

  14. Enter the customer code or name in the Customer Code or Customer Name field.

  15. Enter the customer's bank account number in the Bank Account Number field.

  16. If you want to enter additional information for the direct debit mandate, click the Other Information tab, and enter the information in the appropriate user-defined fields.

  17. Click the OK ribbon button. The direct debit mandate is created.

Ribbon Home Tab Buttons

Button

Click this button to close the Direct Debit Mandate Maintenance window.

New

Click this button to create a new direct debit mandate.

Update

Click this button to update the selected direct debit mandate.

Delete

Click this button to delete the selected direct debit mandate.

OK

Click this button to accept an action. This button is only available after you click the New, Update, or Delete button in the ribbon.

If you are updating one of the following for a direct debit mandate, the Question dialog box appears, and asks if you want to increment the amendment code for the direct debit mandate:

  • mandate reference number

  • creditor ID

  • credit name

  • debtor's bank account number

If you click the Yes button, the amendment code is increased by one, and Updating Reason appears, which allows you to enter the reason you are updating the direct debit mandate.

Cancel

Click this button to cancel an action. This button is only available after you click the New, Update, or Delete button in the ribbon.

First

Click this button to display the first direct debit mandate.

Prev

Click this button to display the previous direct debit mandate.

Next

Click this button to display the next direct debit mandate.

Last

Click this button to display the last direct debit mandate.

Bank Code

Click this button to display Bank Code Maintenance, which allows you to set up and maintain bank codes. This button is only available if you click the Creditor or Debtor tab.

Cash Account

Click this button to display Account Maintenance, which allows you to set up and maintain general ledger accounts. This button is only available if you click the Creditor tab.

Customer Bank Account

Click this button to display Customer Bank Account Maintenance, which allows you to set up and maintain customer bank accounts. This button is only available if you click the Debtor tab.

Fields and Buttons

Field or Button

Description

Mandate Code

Enter a unique code for the direct debit mandate, or click the Lookup button to select a previously created direct debit mandate code.

Mandate Type

Select whether or not the direct debit mandate is for the Single Euro Payments Area (SEPA) in the European Union (EU). The Non-SEPA radio button is selected by default.

Main Tab Fields and Buttons

Field or Button

Description

Description

Enter a description of the direct debit mandate.

Mandate Status

Select whether the direct debit mandate is active or inactive. The Active radio button is selected by default. Only one direct debit mandate can be marked as active for each combination of customer and customer bank account.

Mandate Signature Date

Enter the date the direct debit mandate was signed by the debtor, or click the drop-down arrow to select the date.

Mandate Cancellation Date

If the direct debit mandate is cancelled, enter the date it is cancelled, or click the drop-down arrow to select the date. If you enter a date in this field that is the current date or a date in the past, the Inactive radio button is automatically selected for the direct debit mandate.

Last Extract Date

This field displays the last date that a direct debit file was exported for the direct debit mandate in Direct Debit Collection Management.

Mandate Reference #

Enter the unique mandate reference number for the direct debit mandate. This field is only available if the SEPA radio button is selected.

Amendment Code

This field displays the amendment code for the direct debit mandate. This is 1 when the direct debit mandate is first created, and the number increases by one when a user modifies the direct debit mandate and increases the amendment code. This field is only available if the SEPA radio button is selected. You can view a history of direct debit mandate amendments on the Mandate History tab.

SEPA Direct Debit Scheme

Select one of the following SEPA direct debit schemes for the direct debit mandate:

  • Core

  • B2B

This radio set is only available if the SEPA radio button is selected. The Core radio button is selected by default.

Mandate Sequence Type

Select one of the following mandate sequence types for the direct debit mandate:

  • Recurrent  - The direct debit mandate authorizes multiple direct debit transactions that are initiated by the creditor.

  • One-Off  - The direct debit mandate only authorizes a single direct debit transaction.

This radio set is only available if the SEPA radio button is selected. The Recurrent radio button is selected by default.

Collection Counter

This field displays the collection counter, which is the number of invoices for which direct debits have been generated for the direct debit mandate. This field is only available if the SEPA radio button is selected.

NOTE This number increases for each invoice for which a direct debit file is exported. As a result, if a direct debit file is exported twice for the same invoice, this value would increase twice for one invoice.

Creditor Tab Fields and Buttons

Creditor Name

Enter the name of the creditor for the direct debit mandate.

Creditor ID

Enter the ID of the creditor for the direct debit mandate. This field is required for SEPA direct debit mandates.

Cash Account

Enter the cash account for the direct debit mandate, or click the Lookup button to select a cash account.

Bank Account Number

This field displays the bank account number associated with the selected cash account.

Bank Account Name

This field displays the bank account name associated with the selected cash account.

IBAN

This field displays the IBAN associated with the selected cash account.

Bank Code

This field displays the bank code associated with the selected cash account.

ABA Routing Number

This field displays the ABA routing number associated with the selected cash account.

BIC/SWIFT

This field displays the BIC/SWIFT associated with the selected cash account.

Debtor Tab Fields and Buttons

Field or Button

Description

Debtor Name

Enter the name of the debtor for the direct debit mandate.

Customer Code

Enter the paying customer code for the direct debit mandate, or click the Lookup button to select the customer code.

Customer Name

Enter the paying customer name for the direct debit mandate, or click the Lookup button to select the customer name.

Bank Account Number

Enter the customer bank account number of the debtor for the direct debit mandate, or click the Lookup button to select a customer bank account number.

Bank Account Name

This field displays the bank account name associated with the selected customer bank account.

IBAN

This field displays the IBAN associated with the selected customer bank account.

Bank Code

This field displays the bank code associated with the selected customer bank account.

ABA Routing Number

This field displays the ABA routing number associated with the selected customer bank account.

BIC/SWIFT

This field displays the BIC/SWIFT associated wit the selected customer bank account.

Daily Account Limit

Enter the limit that can be debited from the selected customer bank account each day if the customer has set up a limit.

Currency

Enter the currency code for the daily account limit of the selected customer bank account, or click the Lookup button to select the currency code. This defaults to the default currency for the customer.

Mandate History Tab Fields and Buttons

NOTE This tab is only enabled for SEPA direct debit mandates.
