Purpose

Create billback vouchers and invoices for ship and debit records.

Overview

Use Ship and Debit Billback Processing to create ship and debit billback vouchers and/or invoices for suppliers. Suppliers are set up to receive billback vouchers or invoices in Supplier Maintenance. For more information on ship and debit billbacks, see Ship and Debit FAQ.

Processing Ship and Debit Billbacks

To process ship and debit billbacks:

  1. Select filter criteria for the ship and debit billbacks you want to process.

  2. Click the Show Data button in the ribbon. The Results tab displays ship and debit records for which billbacks were not yet generated.

  3. Select the check box in the Create Billback column for ship and debit billbacks you want to create, or click the Select All button in the ribbon to select all displayed records.

  4. Click the Create Invoice Billbacks or Create Voucher Billbacks button in the ribbon to create ship and debit billbacks for the records selected in step 3. The Billback Invoice Create or Billback Voucher Create window appears, and allows you to review the invoices or vouchers you are creating and proceed to create the invoices or vouchers.

Exit

Click this button to close the Ship and Debit Billback Processing window.

Show Data

Click this button to display ship and debit data on the Results tab based on criteria selected on the Select tab.

Select All

Click this button to select the check box in the Create Billback column for all displayed ship and debit records. This button is only available if the Results tab is displayed.

Deselect All

Click this button to clear the check box in the Create Billback column for all displayed ship and debit records. This button is only available if the Results tab is displayed.

Create Invoice Billbacks

Click this button to display Billback Invoice Create, which allows you to create invoice billbacks for ship and debit records for which the check box is selected in the Create Billback column. This button is only available if the Results tab is displayed.

Create Voucher Billbacks

Click this button to display Billback Voucher Create, which allows you to create voucher billbacks for ship and debit records for which the check box is selected in the Create Billback column. This button is only available if the Results tab is displayed.

Select Tab Fields and Buttons

Field or Button

Description

All (Suppliers)

Select this check box to display data for all suppliers. This check box is selected by default.

Supplier Code

Enter a supplier code for which to display data, or click the Lookup button to select a supplier code. This field is only enabled if you clear the All check box to the left of it.

Supplier Name

Enter a supplier name for which to display data, or click the Lookup button to select a supplier name. This field is only enabled if you clear the All check box to the left of it.

All (Products)

Select this check box to display data for all products. This check box is selected by default.

Product Code

Enter a product code for which to display data, or click the Lookup button to select a product code. This field is only enabled if you clear the All check box to the left of it.

Product Name

Enter a product name for which to display data, or click the Lookup button to select a product name. This field is only enabled if you clear the All check box to the left of it.

All (Billback Invoices)

This check box is selected by default, and is disabled in this window.

Billback Invoice Number

This field is disabled in this window.

All (Billback Vouchers)

This check box is selected by default, and is disabled in this window.

Billback Voucher Number

This field is disabled in this window.

Reference Date From

Enter the first reference date in a range of dates for which to display data, or click the drop-down arrow to select a reference date. This field is only enabled if you clear the All check box to the left of it.

Reference Date To

Enter the last reference date in a range of dates for which to display data, or click the drop-down arrow to select a reference date. This field is only enabled if you clear the All check box to the left of it.

Display Currency

Click the Lookup button to select a currency in which to display monetary amounts on the Results tab. This defaults to the default general ledger currency.

Posted Invoices Only

Select this check box to only display invoices already posted to the general ledger.

Ship and Debits

This grid displays ship and debit records based on the criteria selected on the Select tab (for which billbacks are not yet created) after you click the Show Data button in the ribbon. Select the check box in the Create Billback column for ship and debit records for which you want to create supplier billbacks.
