Purpose

Set up and maintain cash flow categories and subcategories.

Overview

Use Cash Flow Category Maintenance to create, edit, and delete cash flow categories, which are used to organize subsets of data for cash flow analysis. By default, the following four categories are set up:

You can also set up cash flow subcategories to further classify data.

Example In the Cash Inflows category, you create a subcategory for different cash flow amounts, including one subcategory for invoices and credit memos, and one subcategory for sales orders. You could also create more specific subcategories, such as for invoices from specific customers.

Each subcategory is included in only one category. You can also set up the order that cash flow subcategories appear in Cash Flow Management Analysis. To change the display order of cash flow categories, use Cash Flow Category Organization.

Creating Cash Flow Categories and Subcategories

To create a cash flow category (and optional subcategories):

  1. Click the New button in the ribbon.

  2. Enter a unique cash flow category code in the Category Code field.

  3. Enter a name for the cash flow category in the Name field.

  4. Enter a display order value in the Display Order field. The category with the lowest value displays first during cash flow analysis.

  5. Enter a description of the cash flow category in the Description field. If you want to create subcategories for the category, continue to the next step. If you do not want to create subcategories, skip to step 12.

  6. Click the Subcategory tab.

  7. Enter a unique cash flow subcategory code in the Subcategory Code field.

  8. Enter a name for the subcategory in the Name field.

  9. Enter a display order value in the Display Order field.

  10. Click the Enter button. The subcategory is entered in the Subcategories grid.

  11. Repeat steps 7 to 10 to create any additional subcategories as needed. You can use the up and down arrows to reorder the subcategory display order.

  12. Click the OK button in the ribbon. The cash flow category is created.

Ribbon Home Tab Buttons

Button

Exit

Click this button to close the Cash Flow Category Maintenance window. This button is only available if you are not creating, updating, or deleting a cash flow category.

New

Click this button to create a new cash flow category. This button is only available if you are not creating, updating, or deleting a cash flow category.

Update

Click this button to update the selected cash flow category. This button is only available if you are not creating, updating, or deleting a cash flow category.

Delete

Click this button to delete the selected cash flow category. This button is only available if you are not creating, updating, or deleting a cash flow category.

Note You cannot delete a cash flow category if it is used for any transaction type in any cash flow group.

OK

Click this button to accept an action. This button is only available if you click the New, Update, or Delete button in the ribbon.

Cancel

Click this button to cancel an action. This button is only available if you click the New, Update, or Delete button in the ribbon.

First

Click this button to display the first cash flow category (the category with the lowest display order value). This button is only available if you are not creating, updating, or deleting a cash flow category.

Prev

Click this button to display the previous cash flow category (the category with the next lowest display order value). This button is only available if you are not creating, updating, or deleting a cash flow category.

Next

Click this button to display the next cash flow category (the category with the next highest display order value). This button is only available if you are not creating, updating, or deleting a cash flow category.

Last

Click this button to display the last cash flow category (the category with the highest display order value). This button is only available if you are not creating, updating, or deleting a cash flow category.

Category Organization

Click this button to display Cash Flow Category Organization, which allows you to change the display order of cash flow categories. This button is only available if you are not creating, updating, or deleting a cash flow category.

Fields and Buttons

Description

Category Code

Enter a unique cash flow category code, or click the Lookup button to select an existing cash flow category code.

Name

Enter a name for the cash flow category, or click the Lookup button to select an existing cash flow category name.

Beginning Cash

This check box is selected for the Beginning Cash cash flow category, which is used to track the beginning cash balance in Cash Flow Management Analysis.

Note The Beginning Cash cash flow category can be renamed, but it cannot be deleted.

Display Order

Enter a display order value for the cash flow category. The lower the value, the higher the cash flow category appears when performing cash flow analysis. This defaults to the next highest display order value.

Description

Enter an description of the cash flow category.

Subcategory Tab Fields and Buttons

Subcategory Code

Enter a cash flow subcategory code. Subcategories within a category must each have unique names, but you can use the same subcategory code for subcategories in different cash flow categories.

Name

Enter a name for the cash flow subcategory.

Enter

Click this button to add the cash flow subcategory to the selected cash flow category.

Display Order

Enter a display order value for the cash flow subcategory. The lower the value, the higher the cash flow subcategory appears when performing cash flow analysis. This defaults to the next highest display order value.

Cancel

Click this button to cancel the entry of a subcategory. When you click this button, the Subcategory Code and Name fields are cleared.

Subcategories

This grid displays cash flow subcategories (and the display order of the subcategories) for the selected cash flow category. Double-click a subcategory to edit it.

Delete

Click this button to delete the selected cash flow subcategory in the Subcategories grid.

Note You cannot delete a cash flow subcategory if it is used for any transaction type in any cash flow group.

Click this button to move the selected cash flow subcategory up one row in the Subcategories grid (and one position up in the display order).

Click this button to move the selected cash flow subcategory down one row in the Subcategories grid (and one position down in the display order).

Available

This grid displays general ledger accounts included in the Beginning Cash category, but not yet assigned to a cash flow subcategory. This grid is only available if you select the Beginning Cash category.

Click this button to add all accounts in the Available grid to the Selected grid. This button is only available if you select the Beginning Cash category.

Click this button to add the account selected in the Available grid to the Selected grid. This button is only available if you select the Beginning Cash category.

Click this button to remove the account selected in the Selected grid. This button is only available if you select the Beginning Cash category.

Click this button to remove all accounts in the Selected grid. This button is only available if you select the Beginning Cash category.

Selected

This grid displays general ledger accounts assigned to the selected cash flow subcategory. This grid is only available if you select the Beginning Cash category.
