To use Lifecycle Task Validation Maintenance, click the List button in Lifecycle Task Maintenance.

Note The List button on the Validation tab is only enabled for character, decimal, integer, and logical format tasks and only enabled if you select both the Use Validation and Validate from List check boxes. The List button on the Grid Columns tab is only enabled for character, decimal, and integer format grid columns and only enabled if you select both the Use Validation and Validate from List check boxes.

Purpose

Set up a list of valid values for product lifecycle management tasks.

Overview

Use Lifecycle Task Validation Maintenance to create, edit, and delete valid values for product lifecycle management tasks.

Note You can only set up valid values for character, decimal, integer, logical, and grid format tasks. For grid format tasks, you can set up valid values for each character, decimal, or integer format column in the grid.

By setting up valid values, you can ensure that users enter correct and consistent data for workflows.

Example A character format task tracks the status of artwork for products. You can set up the following valid values to account for different scenarios:

  • In Process

  • Approved

  • Rejected

  • Cancelled

If you did not set up valid values, users could enter any value, which may cause confusion about the artwork status.

You can set up valid values for a specific workflow definition or workflow definition group or for all workflow definitions and workflow definition groups.

Setting Up Valid Values for Tasks

To set up valid values for a task:

  1. If you want to set up valid values for a specific workflow definition group and/or workflow definition code, clear the All check box to the left of the Definition Group field, and enter a workflow definition group in the Definition Group field.

  2. If you want to set up valid values for a specific workflow definition code, clear the All check box to the left of the Definition Code field, and enter a workflow definition code in the Definition Code field.

  3. Enter a valid value in the Valid Value field.

  4. Select a status for the valid value.

  5. Click the Lookup button to the right of the Task Status field, and select the status that the task changes to when a user enters the valid value.

  6. Enter a sequence number for the valid value. The lower the number, the higher the valid value appears in the Valid Values grid.

  7. Click the Enter button. The valid value appears in the Valid Values grid at the bottom of the window.

  8. Repeat steps 1-7 for each valid value.

  9. Click the Exit button in the ribbon to close the Lifecycle Task Validation Maintenance window.

  10. In Lifecycle Task Maintenance, click the OK button in the ribbon to save the task with the entered valid values.

Description

Workflow Type

This field displays the workflow type of the task for which you are setting up valid values.

Workflow Level

This field displays the workflow level of the task for which you are setting up valid values.

Task Name

This field displays the name of the task for which you are setting up valid values.

Format

This field displays the format of the task for which you are setting up valid values.

All (Definition Groups)

Select this check box to enter valid values for all workflow definition groups. This check box is selected by default.

Definition Group

Enter a workflow definition group for which to set up valid values, or click the Lookup button to select a workflow definition group. For information on setting up workflow definition groups, see Lifecycle Definition Group Maintenance. This field is only enabled if you clear the All (Definition Groups) check box.

Name (Definition Group)

This field displays the workflow definition group name of the workflow definition group entered in the Definition Group field.

All (Definition Codes)

Select this check box to enter valid values for all workflow definition codes. This check box is selected by default, and only enabled if you clear the All (Definition Groups) check box.

Definition Code

Enter a workflow definition code for which to set up valid values, or click the Lookup button to select a workflow definition code. For information on setting up workflow definitions, see Lifecycle Definition Maintenance. This field is only enabled if you clear the All (Definition Codes) check box.

Name (Definition)

This field displays the workflow definition name of the workflow definition code entered in the Definition Code field.

Valid Value

Enter a valid value for the task in the appropriate format for the task.

Note For a logical task, you must enter Yes or No.

Value Status

Select a status for the valid value.

Task Status

Enter the status of the task after the valid value is entered by a user performing the task.

Example You are setting up valid values for a task that tracks the status of artwork for products. You enter a valid value of Approved that users will select when the artwork is approved. You can then select Completed as the task status for this valid value so that the task is marked as completed when the artwork is approved.

Sequence

Enter a display sequence number for the entered value. Valid values with lower sequence numbers appear higher in the Valid Values grid.

Enter

Click this button to enter the entered valid value in the Valid Values grid. If you mapped a field to the task, this button is disabled.

Remove

Click this button to remove the selected valid value from the Valid Values grid. If you mapped a field to the task, this button is disabled.

Valid Values

This grid displays valid values for the task and the selected workflow definition group(s)/workflow definition code(s). Double-click a valid value to edit it.
