Purpose

Grant or revoke access to specific programs, menus, or modules.

Overview

Use Menu Security Maintenance to set up menu security for programs, menus, or modules.

Example You want to prevent a specific user group from using the General Ledger module. You can use Menu Security Maintenance to revoke access to all the menus in the General Ledger module for the user group.

You can also globally change menu security settings in Set Default Security Access Maintenance.

Note If access to a menu is granted or revoked for a specific user, this overrides security settings for the user groups that the user is a member of. However, if default security settings are used for the user, the user group security settings are used. If user group security settings conflict for a user, menu access is granted or revoked based on the selected Permission Priority option in System ID Maintenance.

If a program is accessed from multiple menus (for example, Customer Maintenance), and you want to restrict a user from accessing the program, you must revoke access to all menus associated with the program.

Granting and Revoking Access to Menus

To grant or revoke access to menus for users or user groups:

  1. Click the Lookup button to the right of the Module ID field, and select a module for which to grant or revoke menu access.

  2. If you want to only grant or revoke access for a specific menu, click the Lookup button to the right of the Menu Group 1-3 fields, and select a menu.

  3. If you want to only grant or revoke access of a specific menu item, click the Lookup button to the right of the Menu Item field, and select a menu item.

  4. Select whether you want to grant or revoke access for a specific user or user group.

  5. Click the View Users button. Users or user groups appear in the grids.

  6. Select a user or user group for which you want to grant or revoke access, and click the Add button. Repeat this for all users or user groups for which you want to grant or revoke access, or click the Add All button to grant or revoke access for all users or user groups. You can also use the Shift or Ctrl keys to select a range and/or multiple users or user groups.

  7. Click the OK button in the ribbon. The menu security settings are updated.

Note Menu access is not updated until the next time a user logs in.

Click this button to close the Menu Security Maintenance window.

OK

Click this button to grant or revoke access to the selected module ID, menu group, or menu item for the selected users or user groups.

Cancel

Click this button to clear all fields.

User or Group Security

Click this button to display User or Group Security Maintenance, which allows you to grant or revoke menu access for specific users or user groups.

Main Tab Fields and Buttons

Field or Button

Description

Module ID

Click the Lookup button to select a module for which you want to grant or revoke access.

Menu Group 1-3

Click the Lookup button to select a menu for which you want to grant or revoke access. This allows you to select only a subset of the menu items in a specific module. These fields are cleared if you select a module that the selected menu is not in.

Menu Item

Click the Lookup button to select a menu item for which you want to grant or revoke access.

User or Group Option

Select whether you want to set up security for users or user groups.

View Users

Click this button to display security settings for all users or users groups for the selected module or menus in the grids below this button.

Revoke User Access / Revoke User Group Access

This grid displays users or user groups that cannot access the selected module, menu, or menu item. The grid is populated when you click the View Users button, and is cleared if you select a different module, menu, or menu item. Double-click users or user groups for which you want to restore default menu access.

Add All

Click this button to add all users or user groups in the Available Users or Default User Access grid to the Revoke User Access or Revoke User Group Access grid.

Add (Revoke)

Click this button to add the selected users or user groups in the Available Users or Default User Access grid to the Revoke User Access or Revoke User Group Access grid. You can use the Shift or Ctrl keys to select a range and/or multiple users or user groups.

Remove (Revoke)

Click this button to add the selected users or user groups in the Revoke User Access or Revoke User Group Access grid to the Available Users or Default User Access grid. You can use the Shift or Ctrl keys to select a range and/or multiple users or user groups.

Remove All (Revoke)

Click this button to add all users or user groups in the Revoke User Access or Revoke User Group Access grid to the Available Users or Default User Access grid.

Grant

Click this button to add the selected users or user groups in the Revoke User Access or Revoke User Group Access grid to the Grant User Access or Grant User Group Access grid. You can use the Shift or Ctrl keys to select a range and/or multiple users or user groups.

Available Users / Default User Access

This grid displays users or user groups for which custom security settings are not set up. This grid is populated when you click the View Users button, and is cleared if you select a different module, menu, or menu item. Double-click users for which you want to grant or revoke menu access based on the selected radio button in the Double Click Option radio set.

Add All (Grant)

Click this button to add all users or user groups in the Available Users or Default User Access grid to the Grant User Access or Grant User Group Access grid.

Add (Grant)

Click this button to add the selected users or user groups in the Available Users or Default User Access grid to the Grant User Access or Grant User Group Access grid. You can use the Shift or Ctrl keys to select a range and/or multiple users or user groups.

Remove (Grant)

Click this button to add the selected users or user groups in the Grant User Access or Grant User Group Access grid to the Available Users or Default User Access grid. You can use the Shift or Ctrl keys to select a range and/or multiple users or user groups.

Remove All (Grant)

Click this button to add all users or user groups in the Grant User Access or Grant User Group Access grid to the Available Users or Default User Access grid.

Revoke

Click this button to add the selected users or user groups in the Grant User Access or Grant User Group Access grid to the Revoke User Access or Revoke User Group Access grid. You can use the Shift or Ctrl keys to select a range and/or multiple users or user groups.

Grant User Access / Grant User Group Access

This grid displays users or user groups that can access the selected module, menu, or menu item. The grid is populated when you click the View Users button, and is cleared if you select a different module, menu, or menu item. Double-click users or user groups for which you want to restore default menu access.

Double Click Option

Select whether you want to grant or revoke access when you double-click users or user groups in the Available Users or Default User Access grid.
