Purpose

Grant or revoke menu access for specific users or user groups.

Overview

Use User or Group Security Maintenance to set up menu security for users or user groups.

Example You want to prevent a specific user group from using the General Ledger module. You can use User or Group Security Maintenance to revoke access to all the menus in the General Ledger module for the user group.

You can also globally change menu security settings in Set Default Security Access Maintenance and change security settings for specific modules, menus, and menu items in Menu Security Maintenance.

Note If access to a menu is granted or revoked for a specific user, this overrides security settings for the user groups that the user is a member of. However, if default security settings are used for the user, the user group security settings are used. If user group security settings conflict for a user, menu access is granted or revoked based on the selected Permission Priority option in System ID Maintenance.

If a program is accessed from multiple menus (for example, Customer Maintenance), and you want to restrict a user from accessing the program, you must revoke access to all menus associated with the program.

Granting and Revoking Access to Menus

To grant or revoke access to menus for users or user groups:

  1. Select whether you want to grant or revoke access for a specific user or group.

  2. Enter the user ID or user group for which you want to grant or revoke access in the User ID or User Group field.

  3. Click the Lookup button to the right of the Module ID field, and select a module for which to grant or revoke menu access.

  4. If you want to only grant or revoke access for a specific submenu, click the Lookup button to the right of the Menu Group 1, Menu Group 2, and/or Menu Group 3 field, and select a menu.

  5. Click the View Menus button. Menus in the module (and menus if you selected menus in step 4) appear in the grids.

  6. Select a menu for which you want to grant or revoke access, and click the Add button. Repeat this for all menus for which you want to grant or revoke access, or click the Add All button to grant or revoke access to all menus. You can also use the Shift or Ctrl keys to select a range and/or multiple menus.

  7. Click the OK button in the ribbon. The menu security settings are updated.

Note Menu access is not updated until the next time the user logs in.

OK

Click this button to grant or revoke access to the selected menus for the selected user or user group.

Cancel

Click this button to clear all fields.

Copy Security

Click this button to display Copy Security from User Or Group, which allows you to copy user or user group security settings from a user or user group to the selected user or user group.

Example You want to copy security settings from User A to User B. Enter User B in the User ID field, then click this ribbon button, and select user A.

Menu Security

Click this button to display Menu Security Maintenance, which allows you grant or revoke access to programs, menus, or modules

Main Tab Fields and Buttons

User or Group Option

Select whether you want to set up security for a user or user group.

User ID/User Group

Enter a user ID or user group for which you want to set up security, or click the Lookup button to select a user ID or user group.

Module ID

Click the Lookup button to select a module for which you want to grant or revoke access.

Menu Group 1-3

Click the Lookup button to select a submenu for which you want to grant or revoke access. This allows you to select only a subset of the menus in a specific module. These fields are cleared if you select a module that the selected menus are not in.

View Menus

Click this button to display all program-specific menus for the selected module and menus in the grids below this button.

Revoke User Access/Revoke User Group Access

This grid displays menus the selected user or user group cannot access. The grid is populated when you click the View Menus button, and is cleared if you select a different module or menu. Double-click menus for which you want to restore default menu access.

NOTE You can click the Menu Description column heading to sort menus in this grid in alphabetical order.

Add All

Click this button to add all menus in the Default Menu Access grid to the Revoke User Access or Revoke User Group Access grid.

Add (Revoke)

Click this button to add the selected menu(s) in the Default Menu Access grid to the Revoke User Access or Revoke User Group Access grid. You can use the Shift or Ctrl keys to select a range and/or multiple menus.

Remove (Revoke)

Click this button to add the selected menu(s) in the Revoke User Access or Revoke User Group Access grid to the Default Menu Access grid. You can use the Shift or Ctrl keys to select a range and/or multiple menus.

Remove All (Revoke)

Click this button to add all menus in the Revoke User Access or Revoke User Group Access grid to the Default Menu Access grid.

Grant

Click this button to add the selected menu(s) in the Revoke User Access or Revoke User Group Access grid to the Grant User Access or Grant User Group Access grid. You can use the Shift or Ctrl keys to select a range and/or multiple menus.

Default Menu Access

This grid displays menus for the selected module and menus for which custom security settings are not set up for the selected user or user group. This grid is populated when you click the View Menus button, and is cleared if you select a different module or menu. Double-click menus for which you want to grant or revoke menu access based on the selected radio button for the Double Click Option setting.

NOTE You can click the Menu Description column heading to sort menus in this grid in alphabetical order.

Add All (Grant)

Click this button to add all menus in the Default Menu Access grid to the Grant User Access or Grant User Group Access grid.

Add (Grant)

Click this button to add the selected menu(s) in the Default Menu Access grid to the Grant User Access or Grant User Group Access grid. You can use the Shift or Ctrl keys to select a range and/or multiple menus.

Remove (Grant)

Click this button to add the selected menu(s) in the Grant User Access or Grant User Group Access grid to the Default Menu Access grid. You can use the Shift or Ctrl keys to select a range and/or multiple menus.

Remove All (Grant)

Click this button to add all menus in the Grant User Access or Grant User Group Access grid to the Default Menu Access grid.

Revoke

Click this button to add the selected menu(s) in the Grant User Access or Grant User Group Access grid to the Revoke User Access or Revoke User Group Access grid. You can use the Shift or Ctrl keys to select a range and/or multiple menus.

Grant User Access/Grant User Group Access

This grid displays menus the selected user or user group can access. The grid is populated when you click the View Menus button, and is cleared if you select a different module or submenu. Double-click menus for which you want to restore default menu access.

NOTE You can click the Menu Description column heading to sort menus in this grid in alphabetical order.

Double Click Option

Select whether you want to grant or revoke access to menus for the selected user or user group when you double-click menus in the Default Menu Access grid.
