Purpose

Overview

Use Return Code Maintenance to define return codes. A return is a type of order that designates a customer is returning product and/or getting a price adjustment. You must define a return code to properly adjust inventory and the general ledger for a return.

The software uses the following three types of returns:

All returns produce a journal entry containing the accounts receivable and return sales accounts. A return where goods are returned also produces an entry containing the inventory and cost of goods sold returns accounts. For more information, see Return Orders FAQ.

Creating Return Codes

To create a return code:

  1. Click the New button in the ribbon.

  2. Enter the return code in the Return Code field.

  3. Enter a brief description of the return code in the Short Description field.

  4. Enter a detailed description of the return code in the Detailed Description field.

  5. Enter account masks for the return code.

  6. Click the OK button in the ribbon. The return code is created.

Updating Return Codes

To update a return code:

  1. Enter the return code in the Return Code field.

  2. Click the Update button in the ribbon.

  3. Edit the return code.

  4. Click the OK button in the ribbon. The return code is updated.

Deleting Return Codes

To delete a return code:

  1. Enter the return code in the Return Code field.

  2. Click the Delete button in the ribbon.

  3. Click the OK button in the ribbon. The return code is deleted.

Button

Exit

Click this button to close the Return Code Maintenance window.

New

Click this button to create a new return code.

Update

Click this button to update the selected return code.

Delete

Click this button to delete the selected return code.

OK

Click this button to accept an action. This button is only available if you click the New, Update, or Delete button in the ribbon.

Cancel

Click this button to cancel an action. This button is only available if you click the New, Update, or Delete button in the ribbon.

Show Data

Click this button to display return codes on the Inquiry tab. This button is only available if you click the Inquiry tab.

First

Click this button to display the first return code.

Prev

Click this button to display the previous return code.

Next

Click this button to display the next return code.

Last

Click this button to display the last return code.

Fields and Buttons

Field or Button

Description

Return Code

Enter a return code, or click the Lookup button to select a return code.

Short Description

Enter the short description of the return code. This description appears in Lookup windows during order entry.

Display in Browsers

Select this check box to display the return code in Lookup windows. This check box is selected by default.

Detailed Description

Enter a detailed description of the return code. This is informational only, and will not appear on orders.

Sales Returns

Enter a sales returns account to use for the return code, or click the Lookup button to display G/L Prompting, which allows you to enter a general ledger account by element. For more information, see Account Resolution Order.

Sales Returns Discount

Enter a sales returns discount account to use for the return code, or click the Lookup button to display G/L Prompting, which allows you to enter a general ledger account by element. For more information, see Account Resolution Order.

Cost of Goods Sold Returns

Enter a cost of goods sold returns account to use for the return code, or click the Lookup button to display G/L Prompting, which allows you to enter a general ledger account by element. For more information, see Account Resolution Order.

Inventory

Enter an inventory account to use for the return code, or click the Lookup button to display G/L Prompting, which allows you to enter a general ledger account by element. For more information, see Account Resolution Order.

Returns Expense

Enter a returns expense account for the return code, or click the Lookup button to display G/L Prompting, which allows you to enter a general ledger account by element. For more information, see Account Resolution Order.

Return Type

Select one of the following options:

  • Internal Processing Error - This indicates that the return is being processed because of an internal problem (warehouse picked and shipped the wrong product, customer service entered the wrong product code, etc.)

  • Customer Initiated Return - The customer is returning the product for reasons other than an internal error.

Include in bookings

Select this check box to include returns for the return reason code in bookings.

Profit Category Code

Enter a scorecard profit category code for the return code, or click the Lookup button to select a scorecard profit category code. For information on setting up scorecard profit category codes, see Scorecard Profit Category Maintenance.

Profit Subcategory Code

Enter a scorecard profit subcategory code for the return code, or click the Lookup button to select a scorecard profit subcategory code. For information on setting up scorecard profit subcategory codes, see Scorecard Profit Category Maintenance.
