Data erasure of the selected GDPR personal data throughout Apprise.
Use Right to be Forgotten Management to erase the selected GDPR personal data of the data subjects in the Apprise database and EDI files generated by Apprise. Locate the GDPR personal data records using different filter criteria to begin the data erasure process.
CAUTION GDPR personal data erasure or removal is an irreversible process. After the data erasure, the processed addresses are marked as inactive, including the primary addresses which are also marked as non-primary.
You can erase the GDPR personal data in the following modes or types:
Business Partner - Includes the GDPR personal data such as the master addresses that are predefined on the maintenance windows in Apprise. Select one, multiple, or all records to erase the master address from the maintenance windows and the linked transactions and EDI files.
NOTE If the predefined address is the only address or the only active address left on the customer, supplier, and so on, then the address cannot be erased. The master addresses are erased only after all the linked transactions and EDI files are updated to have the data erased.
Transactions - Includes the GDPR personal data such as addresses that are not predefined in Apprise, that is, the addresses on transactions such as Orders (for example, fulfillment orders), Invoices, Bills of Lading, Purchase Orders, Vouchers, and Voucher Audits. If you have selected this mode to display data, you must specify one of the following filters:
Address Name
Phone Number
Email Address
Select one, multiple, or all records to erase the address from the linked transactions and EDI files.
Note If duplicate data exist, the system displays the data only once.
To erase the GDPR personal data throughout relevant transactions and files in Apprise:
Select either Business Partner or Transactions radio button.
Click the Lookup button for the Address Type field, then select the address type that you want and click OK.
Select the filters to display the GDPR personal data that you want to erase. If you have selected Transactions type, then ensure that you select at least one filter among Address Name, Phone Number, and Email Address.
Select the GDPR consent information that you want to erase. The filters for consent information are only enabled if you have selected the Business Partner type.
Click Show Data button in the ribbon. The system displays the relevant data in the GDPR personal data grid on the Results tab.
Select the rows that contain the data that you want to erase. You can select one, multiple, or all rows.
Click the Preview button in the ribbon. The system performs a system-wide verification and outputs the data.
View this data to verify whether this is the personal data that you want to erase throughout Apprise. Then click the Remove button in the ribbon. The system prompts you to confirm removal of data.
Click Yes. The system erases the selected personal data from all the relevant transactions and files. The system also outputs a report which displays the details of all the transactions and files from which the selected personal data is removed, and the status of the personal data after data erasure.

After Preview, the system runs a report to display the GDPR personal data that have open transactions, and, therefore, cannot be removed. Either close or void the transactions and proceed with data removal or deselect the relevant rows from the grid to skip removal of this data. |

Click this button to erase or remove the GDPR personal data from the selected rows in the GDPR personal data grid on the Results tab. The system erases the selected personal data from all the relevant transactions and files and replaces the data with strings of X's. CAUTION This is an irreversible process. In other words, the removed data cannot be displayed on this window again. |
