Purpose

Overview

Use Batch Management to view information for all transaction batches. Every batch type displays all detail associated with it, including the user that created it and the user that closed it.

Managing Batches

To manage batches:

  1. Select the batch type you want to manage. If you select the G/L Journal Entries radio button, and your company uses consolidation ledgers, verify the ledger ID for which you want to manage batches is entered in the Ledger ID field.

  2. Enter a batch number you want to manage in the Batch # field.

  3. If you want to open a closed batch, click the Reopen button in the ribbon.

  4. If you want to close an open batch, click the Close button in the ribbon.

  5. If you want to update the expected count, expected amount, remark, and/or description for the batch, click the Update button in the ribbon, make the changes, and then click the OK button in the ribbon.

Button

Description

Exit

Click this button to close the Batch Management window.

Update

Click this button to update the selected batch. You can only update the expected count and amount, the batch remark, and the description.

OK

Click this button to save updated batch information. This button is only available after you click the Update button in the ribbon.

Cancel

Click this button to cancel the update of batch information. This button is only available after you click the Update button in the ribbon.

First

Click this button to display the first batch of the selected batch type.

Prev

Click this button to display the previous batch of the selected batch type.

Next

Click this button to display the next batch of the selected batch type.

Last

Click this button to display the last batch of the selected batch type.

Reopen

Click this button to reopen the selected batch.

Close

Click this button to close the selected batch. If the selected batch is currently being used as the default batch for a user, the Question dialog box appears, and asks you to confirm that you want to close the batch.

Show Details

Click this button to display Batch Inquiry, which allows you to view transactions for the selected batch.

Fields and Buttons

Field or Button

Description

Batch Type

Select the type of batch you want to display.

Batch #

Enter a batch number to display for the selected batch type, or click the Lookup button to select a batch number.

Ledger ID

Enter a ledger ID for which to display a batch, or click the Lookup button to select a batch.

Note This field is only available if at least one consolidation ledger is set up, and the G/L Journal Entries radio button is selected.

Display Unposted Entries

Select this check box to output a report of unposted journal entries when closing a batch that includes unposted journal entries.

Field or Button

Description

Batch #

This field displays the batch number of the selected batch.

Description

Enter a description of the batch.

Created By

This field displays the user ID of the person that created the batch.

Created Date

This field displays the date the batch was created.

Closed

This check box is selected if the batch is closed.

Batch Currency

This field displays the currency of the batch.

Closed by

This field displays the user ID of the person that closed the batch (If it was closed).

Closed Date

This field displays the date the batch was closed (if it was closed).

Batch Remark

Enter a remark associated with the batch.

Count (Expected)

Enter the number of expected entries against the batch.

Amount

Enter the expected total amount of the entries against the batch.

Count (Actual)

This field displays the actual number of entries made against the batch.

Batch Currency Amount

This field displays the actual total amount of the entries made against the batch in the currency of the batch.

G/L Currency Amount

This field displays the actual total amount of entries made against the batch in the currency of the general ledger.
