GDPR Maintenance

To use GDPR Maintenance, click the GDPR button in the ribbon in any window that allows you to manage GDPR consent information.

Purpose

Manage consents of data subjects for the GDPR personal data such as addresses, phone numbers and email addresses.

Overview

Use GDPR Maintenance to manage consents of data subjects such as customers, suppliers, prospects, and contacts for the GDPR personal data such as addresses, phone numbers, and email addresses.

The GDPR consent information can be imported for all data subjects except prospects in Customer Import, Customer Change Import, Contact Import, Contact Change Import, Supplier Import, Supplier Address Import, Supplier Change Import, and Customer Address Import. The GDPR consent information can be manually entered for all data subjects in Customer Maintenance, Supplier Maintenance, Contact Maintenance, and Prospect Maintenance.

You can also erase a specific personal data, for example, an address, in GDPR Personal Data Removal. For more information on data erasure, see Right to be Forgotten Management.

Button

Description

Exit

Click this button to close the GDPR Maintenance window.

Update

Click this button to update the consent information for the selected GDPR personal data such as address, phone number, and email address.

Remove

Click this button to open the GDPR Personal Data Removal window which allows you to erase specified personal data, such as an address.

OK

Click this button to accept an action.

Cancel

Click this button to cancel an action.

Field or Button

Description

 Consent Provided

Select this check box if the data subjects have provided consent to use their personal data.

Consent Attached

Select this check box if the consent is attached using the standard attachment function in Customer Maintenance, Supplier Maintenance, Contact Maintenance, and Prospect Maintenance.

Consent Date

Click the Lookup button to select the date on which the consent has been given.

Request to be Forgotten Date

The system updates this field with the data erasure date, and you cannot update this field manually. After removal of the personal data in GDPR Personal Data Removal or Right to be Forgotten Management, the system updates this date, and the system replaces the address information with strings of X's.

Last Update by

The system updates the name of the user who last updated the consent. However, this field is disabled in this window.

Last Update Date

The system updates the date on which the consent was last updated. However, this field is disabled in this window.

Last Update Time

The system updates the time at which the consent was last updated. However, this field is disabled in this window.

Name

This field is disabled in this window. However, the system displays the selected value.

Address 1

This field is disabled in this window. However, the system displays the selected value.

Address 2

This field is disabled in this window. However, the system displays the selected value.

Address 3

This field is disabled in this window. However, the system displays the selected value.

City

This field is disabled in this window. However, the system displays the selected value.

State/Province

This field is disabled in this window. However, the system displays the selected value.

Postal Code

This field is disabled in this window. However, the system displays the selected value.

Country

This field is disabled in this window. However, the system displays the selected value.

County

This field is disabled in this window. However, the system displays the selected value.

Phone #

This field is disabled in this window. However, the system displays the selected value.

Fax #

This field is disabled in this window. However, the system displays the selected value.
