Menu Path: Customer Service Module Setup Sales and Marketing Prospect Maintenance
Use Prospect Maintenance to enter unqualified prospective customers (prospects for which a quote or order cannot be entered). These prospects can be accessed for mailings, contacts, or other CRM purposes.
Use Prospect Maintenance to also enter or update the GDPR consent-related information.
Note When an unqualified prospect becomes a qualified prospect or an actual customer, you can easily copy the prospect information to Customer Maintenance by selecting the Prospect option, then selecting the actual prospect.

Contacts |
Click this button to display Contact Maintenance, which allows you to view, create, edit, and delete customer contacts. This button is only available if the Contacts tab is displayed. The icon for this button includes a check mark if contacts exist for the selected prospect. |
Attachments |
Click this button to display Attachment Entry, which allows you to view and enter attachments for a selected prospect or contact. |
Documents |
Click this button to display Contact Document Selection, which allows you to select which documents are delivered to the selected contact. This button is only available if the Contacts tab is displayed. |
Notes |
Click this button to display Notes Entry, which allows you to view and enter notes for a selected prospect or contact. |
Convert to Qualified Prospect |
Click this button to convert the selected prospect to a qualified prospect. This button is only available if the Main tab is displayed. |
Convert to Customer |
Click this button to convert the selected prospect to a customer. This button is only available if the Main tab is displayed. |
GDPR |
Click this button to open the GDPR Maintenance window, which allows you to manage the data subjects' consent to use their personal data in Apprise. Note that an orange check mark appears on this button if personal data such as an address has been erased or filled already in GDPR Maintenance. This button is only available on the tabs that contain personal data such as addresses, phone numbers, fax numbers, and email addresses. For more information about data erasure, see GDPR Personal Data Removal or Right to be Forgotten Management. |

Enter a prospect code or click the Lookup button to select an existing prospect code. If you convert a prospect to a customer, this code becomes the customer code for the customer unless you are using the automatic customer code assignment feature. Note If you are a sales representative, you can only view prospects assigned to you. |

This field displays the date that this prospect was created. When you create a new prospect, it defaults to the current date and cannot be changed. |

Select this check box if this prospect is active and you want the prospect to be listed in Lookup windows. This check box is selected by default. |

This field displays the customer code if this prospect is converted into a customer. |

This field displays the customer name if this prospect is converted into a customer. |

Enter a customer template to use when converting this prospect to a qualified prospect or customer, or click the Lookup button to select a customer template. You can only select a customer template that is used for prospect/customer generation. For information on setting up customer templates, see Customer Template Maintenance. NOTE Settings for the prospect will default from the entered customer template, but will not overwrite manually entered settings. |

Enter the primary contact for the prospect, or click the Lookup button to select an existing contact as the primary contact for the prospect. If a contact does not yet exist for the prospect, you can use this field to create a new contact, and the contact's address defaults to the prospect's address. |

Enter the first line of the prospect's street address. |

Enter the city of the prospect's address, or click the Lookup button to select a city. For information on setting up cities, see Postal Code Maintenance. This field can default from the postal code if the postal code is set up in Postal Code Maintenance. |

Enter the state or province of the prospect's address, or click the Lookup button to select a state or province. This field can default from the postal code if the postal code is set up in Postal Code Maintenance. This field’s label can be set up in Country Maintenance. |

Enter the postal code of the prospect's address, or click the Lookup button to select a postal code. If you set up the postal code in Postal Code Maintenance, the City, County, and State/Province fields are automatically populated when you enter the postal code. The format of the postal code is set up for the country in Country Maintenance, and can optionally be set up to be validated. |

Enter the prospect's country, or click the Lookup button to select a country. The country controls the format and/or validation of the postal code, the format of the phone fields, and the label for the State/Province field. For information on setting up countries, see Country Maintenance. |

Enter the main contact of the prospect who should receive invoices. |

Enter the county associated with the prospect's address. This field can default from the postal code if the postal code is set up in Postal Code Maintenance. |

Enter the address of the prospect's Website. |

Enter the prospect's telephone number. The format of the telephone number is set up in Country Maintenance. |

Enter the primary language spoken by the prospect. |

Enter a route for the prospect, or click the Lookup button to select a route. This field is only available if the selected customer template is set up with a fleet delivery shipper. |

Enter a stop number for the prospect. This field is only available if the selected customer template is set up with a fleet delivery shipper. |

Click this button to display Customer Route Inquiry, which allows you to view waves, routes, and stops for a customer. This button is only available if the selected customer template is set up with a fleet delivery shipper. |

Select the check box for each market segment and/or market group associated with the prospect. You can click the plus or minus symbol to the left of a market group to show or hide the market segments in the market group.
