Purpose

Set up and maintain automatic additional charges that control when to automatically add additional charges to a purchase order.

Overview

Use Purchase Automatic Additional Charge Maintenance to create, edit, and delete purchase automatic additional charges, which are additional charges that are automatically applied to purchase orders that meet a set of selected criteria.

Only one purchase automatic additional charge can be added to a purchase order or line item per charge type. If purchase automatic additional charges are set up for the same charge type and different filter combinations, and a purchase order matches multiple filter combinations, only the most specific automatic additional charge is added to the order. NOTE When a purchase order is edited, purchase automatic additional charges may be updated.

This window is split into two sections. The top section is used to select the type of record being created, updated, or deleted. The bottom section is used to view, enter, or update information for that record. You must first make a selection in the top section before you can enter or update information in the bottom section.

Example A supplier charges a restocking fee for all orders. To automatically add the restocking fee to all return orders, you can create an automatic additional charge associated with the purchase class you use for return orders.

Creating Purchase Automatic Additional Charges

To create a purchase automatic additional charge:

Click the New button in the ribbon.
Select the Order Charge radio button if you want the charge added to purchase orders, or select the Item Charge radio button if you want the charge added to purchase order line items.
Select filter criteria to determine the purchase orders that will include the automatic additional charge.
Enter the purchase additional charge type in the Charge Type field.
Select the currency for the automatic additional charge.
Select an amount type to indicate how the charge is calculated.
Enter the details of how you want the additional charge to be calculated and added.
Click the Enter Charge button.
If necessary, repeat steps 4-8 for automatic additional charges for the filter criteria selected in step 3.
Click the OK button in the ribbon. The purchase automatic additional charge is created.

Ribbon Home Tab Buttons

Button	Description
Exit	Click this button to close the Purchase Automatic Additional Charge Maintenance window.
New	Click this button to create a new purchase automatic additional charge.
Update	Click this button to update the selected purchase automatic additional charge.
Delete	Click this button to delete the selected purchase automatic additional charge. If you want to delete multiple purchase automatic additional charges at the same time, use Purchase Automatic Additional Charge Management.
OK	Click this button to accept an action. This button is only available if you click the New, Update, or Delete button in the ribbon.
Cancel	Click this button to cancel an action. This button is only available if you click the New, Update, or Delete button in the ribbon.
First	Click this button to display the first purchase automatic additional charge.
Prev	Click this button to display the previous purchase automatic additional charge.
Next	Click this button to display the next purchase automatic additional charge.
Last	Click this button to display the last purchase automatic additional charge.
Auto Additional Charge	Click this button to display Purchase Automatic Additional Charge Management, which allows you to view and delete purchase automatic additional charges. If you are not authorized to use Purchase Automatic Additional Charge Management, Purchase Automatic Additional Charge Inquiry appears instead, and allows you to view purchase automatic additional charges.

Main Tab Fields and Buttons

Field or Button	Description
Area	Select whether the purchase automatic additional charge is added for a purchase order line item (Item Charge) or the entire purchase order (Order Charge) during purchase order entry.
All Harmonization Codes	Select this check box to set up purchase automatic additional charges for all harmonization codes. This check box is selected by default, and is only enabled if the Item Charge radio button is selected.
Harmonization Code	Enter a harmonization code for which to set up purchase automatic additional charges, or click the Lookup button to select a harmonization code. This field is only enabled if you clear the All Harmonization Codes check box. For information on setting up harmonization codes, see Harmonization Code Maintenance.
Description	This field displays the description for the harmonization code entered in the Harmonization Code field.
All From Countries	Select this check box to set up purchase automatic additional charges for products shipping from all countries. This check box is selected by default. However, if you clear the All Harmonization Codes check box, this check box is cleared and disabled.
Country Code (From)	Enter a country code from which products are shipping for which to set up purchase automatic additional charges, or click the Lookup button to select a country code. This field is only enabled if the All From Countries check box is cleared. For information on setting up countries, see Country Maintenance.
Country Name (From)	Enter a country name from which products are shipping for which to set up purchase automatic additional charges, or click the Lookup button to select a country name. This field is only enabled if the All From Countries check box is cleared. For information on setting up countries, see Country Maintenance.
All To Countries	Select this check box to set up purchase automatic additional charges for products shipping to all countries. This check box is selected by default. However, if you clear the All Harmonization Codes check box, this check box is cleared and disabled.
Country Code (To)	Enter a country code to which products are shipping for which to set up purchase automatic additional charges, or click the Lookup button to select a country code. This field is only enabled if the All From Countries check box is cleared. For information on setting up countries, see Country Maintenance.
Country Name (To)	Enter a country name to which products are shipping for which to set up purchase automatic additional charges, or click the Lookup button to select a country name. This field is only enabled if the All From Countries check box is cleared. For information on setting up countries, see Country Maintenance.
All Ship-To Locations	Select this check box to set up purchase automatic additional charges for all ship-to locations. This check box is selected by default, and is only enabled if the All To Countries check box is selected.
Location Prefix	Enter a location prefix of a ship-to location for which to set up purchase automatic additional charges, or click the Lookup button to select a location prefix. This field is only enabled if you clear the All Ship-To Locations check box. For information on setting up location prefixes, see Location Maintenance.
Location Name	Enter a location name of a ship-to location for which to set up purchase automatic additional charges, or click the Lookup button to select a location name. This field is only enabled if you clear the All Ship-To Locations check box. For information on setting up location names, see Location Maintenance.
All Suppliers	Select this check box to set up purchase automatic additional charges for all suppliers. This check box is selected by default.
Supplier Code	Enter a supplier code for which to set up purchase automatic additional charges, or click the Lookup button to select a supplier code. This field is only enabled if you clear the All Suppliers check box. For information on setting up suppliers, see Supplier Maintenance.
Supplier Name	Enter a supplier name for which to set up purchase automatic additional charges, or click the Lookup button to select a supplier name. This field is only enabled if you clear the All Suppliers check box. For information on setting up suppliers, see Supplier Maintenance.
All Purchase Order Classes	Select this check box to set up purchase automatic additional charges for all purchase classes. This check box is selected by default.
PO Class	Enter a purchase class for which to set up purchase automatic additional charges, or click the Lookup button to select a purchase class. Purchase classes define the class of a purchase order such as purchases, returns, transfers, etc. This field is only enabled if you clear the All Purchase Order Classes check box. For information on setting up purchase classes, see Purchase Class Maintenance.
All Purchase Dates	Select this check box to set up purchase automatic additional charges for all purchase dates. This check box is selected by default.
Start Date	Enter the first date in a range of dates for which to set up purchase automatic additional charges, or click the drop-down arrow to select a date. This field is only enabled if you clear the All Purchase Dates check box.
End Date	Enter the last date in a range of dates for which to set up purchase automatic additional charges, or click the drop-down arrow to select a date. This field is only enabled if you clear the All Purchase Dates check box.
Ignore Year	Select this check box to ignore the year for the date range entered in the Start Date and End Date fields. This check box is only enabled if you clear the All Purchase Dates check box.
All Products	Select this check box to set up purchase automatic additional charges for all products. This check box is selected by default, and is only enabled if the Item Charge radio button, All Product Styles check box, and All Categories check box are selected.
Product Code	Enter a product code for which to set up purchase automatic additional charges, or click the Lookup button to select a product code. This field is only enabled if you clear the All Products check box. For information on setting up products, see Product Maintenance.
Product Name	Enter a product name for which to set up purchase automatic additional charges, or click the Lookup button to select a product name. This field is only enabled if you clear the All Products check box. For information on setting up products, see Product Maintenance.
All Product Styles	Select this check box to set up purchase automatic additional charges for all product styles. This check box is selected by default, and is only enabled if the Item Charge radio button, All Products check box, and All Categories check box are selected.
Style Code	Enter a product style code for which to set up purchase automatic additional charges, or click the Lookup button to select a product style code. This field is only enabled if you clear the All Product Styles check box. For information on setting up product styles, see Style Maintenance.
Style Name	Enter a product style name for which to set up purchase automatic additional charges, or click the Lookup button to select a product style name. This field is only enabled if you clear the All Product Styles check box. For information on setting up product styles, see Style Maintenance.
All Categories	Select this check box to set up purchase automatic additional charges for all product categories. This check box is selected by default, and is only enabled if the Item Charge radio button, All Products check box, and All Product Styles check box are selected.
Category Code	Enter a product category for which to set up purchase automatic additional charges, or click the Lookup button to select a product category. This field is only enabled if you clear the All Categories check box. For information on setting up product categories, see Product Category Maintenance.
All Subcategories	Select this check box to set up purchase automatic additional charges for all product subcategories. This check box is selected by default, and is only enabled if you clear the All Categories check box.
Subcategory Code	Enter a product subcategory for which to set up purchase automatic additional charges, or click the Lookup button to select a product subcategory. This field is only enabled if you clear the All Subcategories check box. For information on setting up product subcategories, see Product Subcategory Maintenance.
Charge Type	Enter a purchase additional charge to set up as an automatic additional charge for the selected criteria, or click the Lookup button to select a purchase additional charge. For information on setting up purchase additional charges, see Purchase Additional Charge Maintenance. Note If you enter a harmonization code in the Harmonization Code field, you must enter a purchase additional charge in this field that is set up as used in harmonization charges.
Currency	Click the Lookup button to select the currency for the purchase automatic additional charge. For information on setting up currencies, see Currency Maintenance. This field is disabled if it is not necessary to select a currency for the selected charge type.
Amount/Percentage	Select whether the automatic additional charge is a positive or negative amount, and enter the amount or percentage. The amount can include up to four decimal places.
For Every	This field displays the units or weight for which the amount is charged. This field is only available if the entered charge type is set up with a per unit or per unit weight amount type.
Enter Charge	Click this button to add the purchase automatic additional charge for the selected criteria.
Remove Charge	Click this button to remove the selected purchase automatic additional charge from the Automatic Additional Charges grid.
Automatic Additional Charges	This grid displays automatic additional charges that are set up for the selected criteria. In Edit mode, you can double-click an automatic additional charge to edit it.
