Order Allocation Management

Purpose

Reallocate products to other sales orders when there is not enough available inventory to satisfy all orders.

Overview

Use Order Allocation Management when you cannot fill all of the orders for a particular product.

Note You can only reallocate for products/locations for which the Allow Re-Allocation check box is selected on the Warehouse tab in Product Location Maintenance. This setting can be set up to default from Product Maintenance (which can also default from Product Category Maintenance). If you select this check box, previously entered sales order lines for the production/location cannot be reallocated. The check box must be selected before the orders are entered.

This feature is useful if you need to reallocate a product that is being allocated by the supplier, your buyers did not order enough, certain customers ordered more than they normally do, etc. Your overall objective is to satisfy all orders for products before customers cancel the orders. If that is not possible in the short-term, then you may need to reallocate.

Example You have 100 of a product on hand. The first customer places an order for 80, the second customer places an order for 50. and the next 10 customers place orders for 10. The first customer was allocated 80, the second customer was allocated 20, and the other 10 customers are allocated nothing. If one of these other 10 customers was a very important customer, you may want to reallocate 10 from the first customer to satisfy your very important customer’s order.

Note If inventory has already been allocated to a pick demand, it cannot be reallocated. Only inventory that has been sales order allocated, but not pick demand allocated, can be reallocated.

Reallocating Orders

To reallocate orders:

  1. Select filter criteria for which to display backorders.

  2. Click the Show Data button in the ribbon. Backorders that meet the criteria you selected in step 1 appear on the Results tab.

  3. Select the order that you want to reallocate.

  4. Click the Allocate button in the ribbon. The Order Allocation Update window appears.

  5. Change the quantities in the Quantity Allocated grid column up or down from order to order until you achieve the required allocation.

Note You cannot allocate more than what you free up as available. The Change to Inventory field keeps track of the cumulative changes.

  1. Click the OK button in the ribbon to save the changes made. The Question dialog box appears and asks you to confirm the reallocation.

  2. Click the Yes button. The reallocation is completed. An email alert is automatically sent to the user who entered the order when a quantity is allocated or deallocated.

Field or Button

Description

Customer Type

Select whether to enter a range of customer codes, customer names, billing customer codes, or billing customer names for which to display backorders.

Related Customers

Select this check box to display backorders for customers related to the selected customer or billing customer. This check box is cleared by default, and is only enabled if the All Customers or All Billing Customers check box is cleared.

All Customers/All Billing Customers

Select this check box to display backorders for all customers. This check box is selected by default.

From (Customer)

Enter the first customer or billing customer code/name for a range of customers for which to display backorders, or click the Lookup button to select a customer or billing customer code/name. You select a code or name based on your selection in the Customer Type radio set. This field is only enabled if you clear the All Customers or All Billing Customers check box.

To (Customer)

Enter the last customer or billing customer code/name for a range of customers for which to display backorders, or click the Lookup button to select a customer or billing customer code/name. You select a code or name based on your selection in the Customer Type radio set. This field is only enabled if you clear the All Customers or All Billing Customers check box.

All Customer Divisions

Select this check box to display backorders for all customer divisions. This check box is selected by default.

Code (Customer Division)

Enter a customer division code for which to display backorders, or click the Lookup button to select a customer division code. This field is only enabled if you clear the All Customer Divisions check box.

All Shipping Locations

Select this check box to display backorders for all shipping locations. This check box is cleared by default.

Prefix (Shipping Location)

Enter a shipping location prefix for which to display backorders, or click the Lookup button to select a shipping location prefix. This field is only enabled if the All Shipping Locations check box is cleared.

Name (Shipping Location)

Enter a shipping location name for which to display backorders, or click the Lookup button to select a shipping location name. This field is only enabled if the All Shipping Locations check box is cleared.

List (Shipping Location)

Click this button to display Location List, which allows you to select specific shipping locations for which to display backorders. This button is only enabled if you clear the All Shipping Locations check box. If you click this button and select shipping locations, the check box to the right of the button is selected.

All Sales Locations

Select this check box to display backorders for all sales locations. This check box is selected by default.

Enter a sales location prefix for which to display backorders, or click the Lookup button to select a sales location prefix. This field is only enabled if you clear the All Sales Locations check box.

Name (Sales Location)

Enter a sales location name for which to display backorders, or click the Lookup button to select a sales location name. This field is only enabled if you clear the All Sales Locations check box.

List (Sales Location)

Click this button to display Location List, which allows you to select specific sales locations for which to display backorders. This button is only enabled if you clear the All Sales Locations check box. If you click this button and select sales locations, the check box to the right of the button is selected.

All Required Dates

Select this check box to display backorders for all required dates. This check box is selected by default.

From (Required Date)

Enter the first required date in a range of required dates for which to display backorders, or click the drop-down arrow to select a date. This field is only enabled if you clear the All Required Dates check box.

To (Required Date)

Enter the last required date in a range of required dates for which to display backorders, or click the drop-down arrow to select a date. This field is only enabled if you clear the All Required Dates check box.

All Cancel After Dates

Select this check box to display backorders for all cancel-after dates. This check box is selected by default.

From (Cancel After Date)

Enter the first cancel-after date in a range of cancel-after dates for which to display backorders, or click the drop-down arrow to select a date. This field is only enabled if you clear the All Cancel After Dates check box.

To (Cancel After Date)

Enter the last cancel-after date in a range of cancel-after dates for which to display backorders, or click the drop-down arrow to select a date. This field is only enabled if you clear the All Cancel After Dates check box.

All Products

Select this check box to display backorders for all products. This check box is selected by default.

Code (Product)

Enter a product code for which to display backorders, or click the Lookup button to select a product code. This field is only enabled if you clear the All Products check box.

Name (Product)

Enter a product name for which to display backorders, or click the Lookup button to select a product name. This field is only enabled if you clear the All Products check box.

All Categories

Select this check box to display backorders for all product categories. This check box is selected by default.

Code (Product Category)

Enter a product category code for which to display backorders, or click the Lookup button to select a product category code. This field is only enabled if you clear the All Categories check box.

Name (Product Category)

This field displays the product category name for the entered product category code.

List (Product Categories)

Click this button to display Category List, which allows you to select specific categories for which to display backorders. This button is only enabled if you clear the All Categories check box. If you click this button and select categories, the check box to the right of the button is selected.

All Subcategories

Select this check box to display backorders for all product subcategories. This check box is selected by default, and is only enabled if you clear the All Categories check box, and enter a product category.

Code (Product Subcategory)

Enter a product subcategory code for which to display backorders, or click the Lookup button to select a product subcategory code. This field is only enabled if you clear the All Subcategories check box.

Name (Product Subcategory)

This field displays the product subcategory name for the entered product subcategory code.

List (Product Subcategories)

Click this button to display Subcategory List, which allows you to select specific subcategories for which to display backorders. This button is only enabled if you clear the All Subcategories check box. If you click this button and select subcategories, the check box to the right of the button is selected.

All Styles

Select this check box to display backorders for all product styles. This check box is selected by default.

Code (Product Style)

Enter a product style code for which to display backorders, or click the Lookup button to select a product style code. This field is only enabled if you clear the All Styles check box.

Name (Product Style)

This field displays the product style name for the entered product style code.

List (Product Styles)

Click this button to display Style List, which allows you to select specific styles for which to display backorders. This button is only enabled if you clear the All Styles check box. If you click this button and select styles, the check box to the right of the button is selected.

All Sales Representatives

Select this check box to display backorders for all sales representatives. This check box is selected by default.

Sales Representative

Enter a sales representative for which to display backorders, or click the Lookup button to select a sales representative. This field is only enabled if you clear the All Sales Representatives check box.

List (Sales Representatives)

Click this button to display Sales Representative List, which allows you to select multiple sales representatives for which to include display backorders. This button is only enabled if you clear the All Sales Representatives check box. If you click this button and select sales representatives, the check box to the right of the button is selected.

All

Select this check box to display backorders for all priorities. This check box is selected by default.

Priority

Enter an order priority number for which you want to display backorders. This field is only enabled if you clear the All check box.

All Backorders

Select this check box to display all backorders even backorders that cannot be allocated. If you clear this check box, only backorders display with products that can be allocated (not already reserved for another customer). This check box is selected by default.

Results Tab Fields and Buttons

Field or Button

Description

Backorders

This grid displays backorders to which you can allocate inventory. Double-click a backorder to display Order Allocation Update, which allows you to allocate inventory from one order to another order.

Order Count

This field displays the number of backorders displayed in the Backorders grid.

Product Totals

This grid displays product totals for the backordered product of the order line item selected in the Backorders grid.
