Purpose

Reserve (allocate) product quantities for specific customers, billing customers, or customer divisions before the entry of a sales order.

Overview

Use Product Inventory Reservation Maintenance to reserve inventory for special customers, billing customers, or groups of customers (customer divisions) before actually processing sales orders for them. You can also import inventory reservations in Inventory Reservation Import.

There are two types of reservations: reserve now and future receipt. You can enter quantities separately for both. Reserve now reservations are used to immediately allocate inventory, whereas future receipt reservations are used to allocate inventory when a specific open purchase order is received or when inventory is manually allocated in Future Receipt Reservation Allocate. When inventory is allocated for a future receipt reservation, a reserve now reservation is automatically created.

After creating a reserve now inventory reservation for a customer, the reservation quantity is automatically decreased by any quantities on sales orders for that customer.

NOTE You can reserve inventory for products that are kits or kit components. For kits, you can only create reserve now reservations. If you reserve inventory for kit components, those reservations are not used when ordering kits.

The reservation quantity can be decreased or increased at any time. The original quantity reserved is retained for reference purposes only.

Note When increasing (or decreasing) the reserved quantity, the software ignores any open sales orders that originated from that customer reservation. The assumption is that you want the updated reserved quantity in addition to any open sales orders.

Images\warning.gif If you enter a sales order line that originated from a customer reservation, then delete the line or void the order, the reservation quantity is increased by the voided/deleted quantity (even if you had previously reduced the reservation quantity to zero).

Creating Reserve Now Inventory Reservations

To create a reserve now inventory reservation:

  1. Enter a product in the Product Code or Product Name field.

  2. Enter a location prefix or name in one of the Location fields.

  3. Select whether to reserve by customer, billing customer, or division.

  4. Click the New button in the ribbon.

  5. Enter a customer, billing customer, or customer division.

  6. Enter the quantity to reserve in the Quantity field.

  7. Click the Lookup button for the U/M field, and select the unit of measure for the reservation quantity.

  8. Enter any additional data for the reservation in the user-defined fields.

  9. If you want to allow users to reallocate inventory for the reservation to other orders, select the Reallocation Allowed check box.

  10. Click the OK button in the ribbon. The reservation is created.

Creating Future Receipt Inventory Reservations

To create a future receipt inventory reservation:

  1. Enter a product in the Product Code or Product Name field.

  2. Enter a location prefix or name in one of the Location fields.

  3. Select the Future Receipt radio button.

  4. Select whether to reserve by customer, billing customer, or division.

  5. Click the New button in the ribbon.

  6. Enter a customer, billing customer, or customer division.

  7. Enter the quantity to reserve in the Quantity field.

  8. If you want to reserve inventory received for a specific purchase order, enter the purchase order number in the PO Number field. If you enter a purchase order number, inventory is allocated when the product is received for the purchase order. If you do not enter a purchase order number, you must allocate inventory manually in Future Receipt Reservation Allocate.

  9. Click the Lookup button for the U/M field, and select the unit of measure for the reservation quantity.

  10. Enter a start date for the reservation in the Start Date field.

  11. Enter a date when the reservation expires in the Expiration Date field.

  12. Enter any additional data for the reservation in the user-defined fields.

  13. If you want to allow users to reallocate inventory for the reservation to other orders, select the Reallocation Allowed check box.

  14. If you want to reserve inventory from transfer orders, select the Reserve Transfers check box.

  15. Click the OK button in the ribbon. The reservation is created.

Click this button to accept an action. This button is only available after you click the New, Update, or Delete button in the ribbon.

Click this button to cancel an action. This button is only available after you click the New, Update, or Delete button in the ribbon.

First

Click this button to display the first inventory reservation.

Prev

Click this button to display the previous inventory reservation.

Next

Click this button to display the next inventory reservation.

Last

Click this button to display the last inventory reservation.

Inventory Matrix

Click this button to display Inventory Matrix Inquiry, which allows you to view inventory information for the selected product.

Inventory Reservations

Click this button to display Reservation Inquiry, which allows you to view inventory reservations for the selected customer, billing customer, or division. You must select a customer, billing customer, or division before you click this button.

Sales Restrictions

Click this button to display Sales Restriction Inquiry, which allows you to view sales restrictions for the selected product.

U/M Calculator

Click this button to display Unit of Measure Calculator, which you can use to calculate equivalent quantities of two units of measure. This button is only enabled after you click the New or Update button in the ribbon.

Fields and Buttons

Field or Button

Description

Product Code

Enter the product code for the inventory reservation, or click the Lookup button to select a product code.

Product Name

Enter a product name for the inventory reservation, or click the Lookup button to select a product name.

Location

Enter the location prefix or name for the inventory reservation, or click one of the Lookup buttons to select a location.

BOM Version

This field displays the bill of material version for the inventory reservation. This field is only available if a fixed kits is selected for the inventory reservation.

BOM Revision

This field displays the bill of material revision for the inventory reservation. This field is only available if a fixed kits is selected for the inventory reservation.

Version / Revision

Click this button to select an active bill of material version and revision for the inventory reservation. This field is only available if a fixed kits is selected for the inventory reservation.

Main Tab Fields and Buttons

Field or Button

Description

Reservation Type

Select whether to allocate inventory immediately for the reservation, or at a future date. If you select the Future Receipt radio button, you can specify to allocate inventory automatically when the product is received for a specific purchase order or manually in Future Receipt Reservation Allocate.

Reserve by

Select whether to reserve by customer, billing customer, or customer division.

Customer Code/Billing Customer Code/Customer Division

Enter the customer code, billing customer code, or customer division ID for the inventory reservation, or click the Lookup button to select a customer code, billing customer code, or customer division. The Reserve by radio set controls what you enter in this field.

Customer Name/Billing Customer Name

Enter the customer name or billing customer name for the inventory reservation, or click the Lookup button to select a customer name or billing customer name. The Reserve by radio set controls what you enter in this field.

Quantity

Enter the quantity to reserve for this customer, billing customer, or division.

Original Quantity

This field displays the initial quantity reserved for this customer, billing customer, or division (retained for reference purposes only). This field is only available if you select the Reserve Now radio button.

Already Reserved

This field displays the quantity of product inventory already reserved. This field is only available if you select the Future Receipt radio button.

Back Orders

This check box is selected if there are any backorders for this customer, billing customer, or division for this product.

Reallocation Allowed

Select this check box if you want to allow users to reallocate inventory for the reservation to other orders in Order Allocation Update. This check box is only enabled if the Allow Inventory Reservations to be Reallocated check box is selected in Customer Service Control Maintenance.

Future Orders

This check box is selected if there are any future orders for this customer, billing customer, or division for this product.

Reserve Transfers

Select this check box to reserve inventory from transfer orders. This check box is only available if you select the Future Receipt radio button.

Avail to Reserve

This field displays the maximum quantity that can be reserved for a customer, billing customer, or division. This is calculated by adding the quantity on hand of the product at the location to the reserved quantity for the customer or division, and subtracting the quantity allocated. This field is only available if you select the Reserve Now radio button. For fixed kits, this is the quantity available to reserve for the kit components.

Note This quantity will display different amounts based on the selected customer’s or division’s reserved quantity.

PO Number

Enter a purchase order number to associate with a future receipt inventory reservation, or click the Lookup button to select a purchase order number. This field is only enabled if you select the Future Receipt radio button.

Note If you enter a purchase order number, inventory is automatically allocated from available bins when the purchase order is received. If you do not enter a purchase order number, and inventory is received for a purchase order before the dates for the future receipt inventory reservation, you must allocate inventory in Future Receipt Reservation Allocate.

Priority

Enter a priority for the inventory reservation (between 0 and 999). If you are reserving by customer or billing customer, this defaults to the customer's order priority. This field is only available if you select the Future Receipt radio button.

U/M

Enter a unit of measure for reservation quantities, or click the Lookup button to select a unit of measure.

Start Date

Enter a start date for the inventory reservation, or click the drop-down arrow to select a start date. This field is only available if you select the Future Receipt radio button.

Expiration Date

Enter the expiration date for the inventory reservation, or click the drop-down arrow to select an expiration date. This date is only for reference, and is only available if you select the Future Receipt radio button. This field is only enabled if you do not enter a purchase order number in the PO Number field.

Inventory Reservation User Defined 1-5

Enter additional information about the inventory reservation in these five user-defined fields.

Inventory Reservations

This grid displays inventory reservations for the selected product, and the selected customer, billing customer, or division.

Total Reserved Quantity

This field displays the total reserved quantity for this product/location. This field is only available if you select the Reserve Now radio button.
