Purpose

Overview

Use Prospect Inquiry to view information for unqualified prospective customers (prospects for which a quote or order cannot be entered). These prospects can be accessed for mailings, contacts, or other CRM purposes.

Note When an unqualified prospect becomes a qualified prospect or an actual customer, you can easily copy the prospect information to Customer Maintenance by selecting the Prospect option, then selecting the actual prospect.

Use Prospect Inquiry to also view the GDPR consent-related information.

Ribbon Home Tab Buttons

Button

Description

Exit

Click this button to close the Prospect Inquiry window.

First

Click this button to display the first prospect.

Prev

Click this button to display the previous prospect.

Next

Click this button to display the next prospect.

Last

Click this button to display the last prospect.

Contacts

Click this button to display Contact Maintenance, which allows you to view customer contacts. This button is only available if the Contacts tab is displayed. The icon for this button includes a check mark if contacts exist for the selected prospect.

Attachments

Click this button to display Attachment Entry, which allows you to view attachments for a selected prospect or contact.

Documents

Click this button to display Contact Document Selection, which allows you to view which documents are delivered to the selected contact. This button is only available if the Contacts tab is displayed.

Notes

Click this button to display Notes Entry, which allows you to view notes for a selected prospect or contact.

GDPR

Click this button to open the GDPR Maintenance window, which allows you to view the data subjects' consent to use their personal data in Apprise. Note that an orange check mark appears on this button if personal data such as an address has been erased or filled already in GDPR Maintenance. This button is only available on the tabs that contain personal data such as addresses, phone numbers, fax numbers, and email addresses.

Prospect Code

Enter an existing prospect code or click the Lookup button to select an existing prospect code.

Note If you are a sales representative, you can only view prospects assigned to you.

Prospect Name

Enter an existing prospect's name, or click the Lookup button to select an existing prospect name.

Note If you are a sales representative, you can only view prospects assigned to you.

Main Tab Fields and Buttons

Field or Button

Description

Setup Date

This field displays the date that this prospect was created. When you create a new prospect, it defaults to the current date and cannot be changed.

Active

This check box is selected if the prospect is active, and available in Lookup windows.

Customer Code

This field displays the customer code if this prospect is converted into a customer.

Name

This field displays the customer name if this prospect is converted into a customer.

Customer Template

This field displays the customer template to use when converting this prospect to a qualified prospect or customer.

Primary Contact

This field displays the primary contact for the prospect.

Address 1

This field displays the first line of the prospect's street address.

Address 2

This field displays the second line of the prospect's street address.

Address 3

This field displays the third line of the prospect's street address.

City

This field displays the city of the prospect's address. For information on setting up cities, see Postal Code Maintenance.

State/Province

This field displays the state or province of the prospect's address. This field’s label can be set up in Country Maintenance.

Postal Code

This field displays the postal code of the prospect's address. The format of the postal code is set up for the country in Country Maintenance, and can optionally be set up to be validated.

Country

This field displays the prospect's country. For information on setting up countries, see Country Maintenance.

Attention

This field displays the main contact of the prospect who should receive invoices.

County

This field displays the county associated with the prospect's address.

Website

This field displays the address of the prospect's Website.

Open

Click this button to display the prospect's Website if the address for it is entered in the Website field.

Phone #

This field displays the prospect's telephone number. The format of the telephone number is set up in Country Maintenance.

Email Address

This field displays the main email address for the prospect.

Fax #

This field displays the prospect's fax number. The format of the fax number is set up in Country Maintenance.

Language

This field displays the primary language spoken by the prospect.

Route Number

This field displays the route for the prospect. This field is only available if the selected customer template is set up with a fleet delivery shipper.

Route Stop Number

This field displays the stop number for the prospect. This field is only available if the selected customer template is set up with a fleet delivery shipper.

Route

Click this button to display Customer Route Inquiry, which allows you to view waves, routes, and stops for a customer. This button is only available if the selected customer template is set up with a fleet delivery shipper.

No Delivery Days

These check boxes are selected for days on which the prospect will not have deliveries. These check boxes are only available if the selected customer template is set up with a fleet delivery shipper.

Sales Tab Fields and Buttons

Description

Sales Representative 1

This field displays the main sales representative that handles the prospect. For information on setting up sales representatives, see Sales Representative Maintenance.

Sales Representative 2

This field displays an additional sales representative that handles the prospect. For information on setting up sales representatives, see Sales Representative Maintenance.

Shipping Location

This field displays the main shipping location prefix that services the prospect. Locations are set up in Location Maintenance.

Sales Location

This field displays the main sales location prefix that services the prospect. Locations are set up in Location Maintenance.

Sales Division

This field displays the sales division that handles the prospect. The sales division is a customer grouping used for EIS and sales analysis.

Sales Group

This field displays the sales group that handles the prospect. The sales group is a customer grouping used for EIS and sales analysis.

Sales Territory

This field displays the sales territory that handles the prospect. The sales territory is a customer grouping used for EIS and sales analysis.

Price Book Group

This field displays the price book group for the prospect. The price book group is a customer grouping to use for price calculations. For information on setting up price book groups, see Price Book Group Maintenance.

Marketing Representative 1

This field displays the main marketing representative responsible for the prospect. For information on setting up marketing representatives, see Marketing Representative Maintenance.

Marketing Representative 2

This field displays a secondary marketing representative responsible for the prospect. For information on setting up marketing representatives, see Marketing Representative Maintenance.

This grid displays price books for the prospect.

Groups Tab Fields and Buttons

Field or Button

Description

Market Groups

The check box is selected for each market segment and/or market group associated with the prospect. You can click the plus or minus symbol to the left of a market group to show or hide the market segments in the market group. For information on setting up market groups and market segments, see Market Group and Segment Maintenance.

Contacts Tab Fields and Buttons

Field or Button

Description

Contacts

This grid displays contacts set up for the prospect in Contact Maintenance. Double-click a contact to display the contact information in Contact Maintenance.

Show History For

Select whether to display CRM tasks for only the contact selected in the Contacts grid or for all contacts.

CRM Tasks

This grid displays CRM tasks for the selected contact or all contacts (based on the selected Show History For option). Double-click a task to display information for the task.

Other Customer Information Tab Fields and Buttons

These fields display any user-defined market segment information for the prospect. The labels, formats, and validations are set up in User Defined Fields Maintenance.
